Position Summary
This opportunity is for an organized, polished, and approachable Administrative Assistant to keep day-to-day office functions running smoothly and act as a central resource for staff, guests, customers, and senior leaders. The role suits someone who enjoys a busy environment, can juggle several priorities at once, and helps create a productive, positive workplace.
The right person will be proactive, detail-focused, and comfortable supporting several teams while working closely with executive leadership.
Office Administration
- Handle incoming calls and route them to the right person or department.
- Welcome visitors and help maintain a professional, hospitable office setting.
- Manage calendars and appointment scheduling.
- Set up meetings and coordinate conference room use.
- Oversee incoming and outgoing calls, mail, and package shipments.
- Sort, compile, and distribute mail received by the office.
Communication and Documentation
- Draft and send internal and external communications such as emails, memos, invoices, reports, and other correspondence.
- Edit business letters, reports, and related documents.
- Build and maintain orderly digital and paper filing systems.
Office Operations
- Support the daily flow of office activities and general operations.
- Track and replenish office supplies as needed.
- Keep shared spaces, including pantry areas, neat, stocked, and organized.
- Provide broad administrative help with office logistics.
Executive and Team Support
- Assist executive leadership, including the CEO, with administrative needs.
- Support special assignments and project work as required.
- Arrange lunch orders and other executive support tasks.
- Assist HR with interview coordination, meeting scheduling, and transportation planning.
- Help connect customers, technical support teams, and internal groups to keep communication flowing.
Qualifications
This role calls for a candidate with a bachelor's degree in Business, Marketing, Communications, or a related discipline, along with 2+ years of experience in a client-facing position, ideally in a software or technology environment. Strong communication, interpersonal, organizational, multitasking, and problem-solving abilities are essential, as is the ability to work well across departments and stay composed in a deadline-driven setting. A friendly, professional, and upbeat attitude is also important.
Compensation and Benefits
The pay range for this position is $23 to $30 per hour.
