Role overview
As an Administrative Assistant & Event Coordinator, you will work alongside the founder, event managers, and the wider team to keep projects, processes, and daily operations organized and on track. The position combines client-facing event coordination with internal operational support, making it a strong fit for someone who likes structure, stays on top of details, and is dependable for both routine work and fast-moving priorities.
Key responsibilities
- Provide executive support to the founder by handling administrative tasks, tracking timesheets, coordinating calendars, and assisting with other day-to-day needs.
- Support administrative and operational workflows by maintaining records, organizing files, entering data, and helping internal systems run smoothly.
- Assist with team coordination, shared resources, internal communication, and special initiatives across the business.
- Manage employee milestone gifts, client gifting activities, and other relationship-building touches that enhance the company experience.
- Identify opportunities to improve organization, consistency, and efficiency across internal processes and event workflows.
- Support event managers with logistics, production tasks, activations, research, and project coordination for conferences, trade shows, field marketing programs, and internal events.
- Track shipments of event materials, swag, gifts, and supplies so items arrive correctly and on time.
- Assist with venue sourcing, vendor outreach, proposal gathering, and research to help guide event decisions.
- Travel for onsite event support, including setup, registration, logistics coordination, attendee experience, and day-of execution.
Candidate profile
The ideal person brings at least 2 years of experience in administration, operations, events, project coordination, or a similar area. You should be dependable, self-directed, highly organized, and comfortable taking ownership of your work. The role also calls for someone who communicates clearly, handles changing priorities well, works through ambiguity, and is confident learning new tools and systems.
It is helpful if you have used ClickUp, Google Workspace, Slack, QuickBooks, or Apple products before. Prior exposure to B2B events, conferences, trade shows, field marketing programs, or client-service environments is considered an advantage.
Compensation and benefits
The salary range for this full-time role is $50,000 to $58,000 per year, depending on experience. The position is remote within the USA and reports directly to the Founder and CEO, Charlene Ditch.
