Role Overview
This full-time Administrative Assistant position supports the Wind team. The role centers on preparing, organizing, and sharing HSE (Health, Safety, and Environmental) documents with clients, while working closely with local Safety Technicians to make sure files are accurate, compliant, and submitted on time. The position also includes recordkeeping, handling documentation queries or updates from clients and field teams, and supporting smooth administrative operations.

Responsibilities
- Deliver HSE documentation to clients through email or the web platform.
- Work with local safety technicians to assemble and update new documentation.
- Support invoicing activities for subcontractors and clients.
- Raise service orders in the internal system and keep statistical records current.
- Coordinate with subcontractors for service mobilization and confirm they have the documents needed for assignments.
- Liaise with clients to agree on mobilization dates and related coordination tasks.
- Help plan and develop training materials and operational workflows.
- Engage with local stakeholders to clarify operational needs.
- Travel to remote job locations across LATAM when required.
Requirements
- At least 2 years of experience in an administrative assistant or similar clerical position.
- Native-level Portuguese, plus working proficiency in Spanish and English; Spanish knowledge is considered an advantage.
- Strong command of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
- Ability to understand client Scope of Work (SOW) goals and requirements.
- Excellent organization and time management skills, with the ability to document processes clearly.
- Confident communication and interpersonal skills, including professional client interaction.
- Comfortable working both independently and collaboratively.
- Capable of handling several tasks at once while meeting strict deadlines.
