Role Overview

The Admin Concierge supports smooth lobby operations and helps maintain a seamless guest journey. This role sits at the center of communication between multiple front-of-house teams and contributes to personalized service through detailed guest records, pre-arrival coordination, administrative support, and service recovery tracking.

Key Responsibilities

• Serve as the main communication link for the lobby by coordinating with Doormen, Porters, Reception, and Raffles Butlers to keep guest movement and service delivery running smoothly.
• Create and update guest profiles in the property management system, capturing preferences, prior requests, and cultural considerations to support personalized stays.
• Handle the pre-arrival email process by following up with guests and travel agents to confirm arrival information and any special arrangements.
• Manage incoming and outgoing guest and internal mail, arrange courier services, and keep the hotel’s digital directory or function board current.
• Track lobby consumables and guest amenity inventory, and work with butler administration supervisors to arrange replenishment when needed.
• Record guest concerns, monitor feedback, and support timely corrective action so service standards remain aligned with the brand.

Service Standards and Conduct

• Deliver service that is warm, anticipatory, and personalized, reflecting the heritage and style associated with Raffles.
• Maintain a polished appearance and professional body language at all times, including proper posture and etiquette expected in a luxury environment.
• Handle all guest information with discretion, confidentiality, and integrity.

Qualifications and Attributes

• At least 2 years of experience in a luxury hotel front office or guest relations position.
• Good command of Microsoft Office, especially Excel, along with practical experience using hotel property management systems.
• Strong presence, creativity, curiosity, emotional intelligence, and cultural awareness.

Additional Information

• Understanding of the expectations associated with ultra-luxury guests and the ability to stay aligned with the brand.
• Experience in project coordination, scheduling, and document control during pre-opening phases is valued.
• Pre-opening experience is mandatory.
• Must demonstrate initiative, anticipation, accountability, and a strong sense of ownership.
• Grooming and personal presentation must meet luxury hospitality standards.
