About the Principal
This role supports a West Coast-based principal whose life is centered on travel, philanthropy, the arts, and active participation in community initiatives. She is an artist, an arts supporter, and a museum board member, and her calendar often includes fundraising events, galas, charitable work, and cultural commitments. The position suits someone who is highly organized, self-directed, and comfortable working in a fast-moving, trust-based environment.
This is a remote, part-time opportunity for a candidate who enjoys varied responsibilities and can bring structure, discretion, and careful planning to a wide range of personal and administrative tasks.
Travel Planning & Logistics
- Arrange detailed domestic and international travel from start to finish.
- Handle research and bookings for flights, lodging, ground transport, restaurant reservations, and special experiences.
- Build thorough itineraries, including backup plans when needed.
- Oversee memberships, loyalty accounts, and preferred travel partnerships.
- Support smooth travel through advance coordination and clear communication.
Philanthropy & Arts Support
- Assist with museum board responsibilities, fundraising efforts, and gala preparation.
- Research charities, philanthropic opportunities, and community-based initiatives.
- Draft briefing documents, presentations, and research summaries.
- Help coordinate volunteers and event-related logistics.
- Monitor philanthropic tasks, deliverables, and follow-up actions.
Personal & Lifestyle Management
- Organize calendars, appointments, and personal commitments.
- Coordinate wellness activities, medical appointments, and personal enrichment plans.
- Support family logistics and special projects as required.
- Research vendors, services, experiences, and learning opportunities.
- Stay ahead of needs and identify practical solutions before issues arise.
Administrative Support
- Keep files, records, and digital systems well organized.
- Manage contracts, invoices, billing, and vendor interactions.
- Track deadlines, projects, and ongoing priorities.
- Assist with technology, account administration, and general operational order.
Property Coordination
- Work lightly with property managers and service providers across multiple residences.
- Support guest readiness and hospitality-related logistics.
- Carry out occasional research related to properties and locations.
Schedule & Compensation
The role is remote and part time, with an estimated workload of 10 to 20 hours per week depending on business needs. Candidates may be based anywhere in the United States, although availability that overlaps with Pacific Time business hours is preferred. Compensation is offered at a competitive hourly rate aligned with experience.
Qualifications
- Prior experience in a Personal Assistant, Executive Assistant, Chief of Staff, or comparable role.
- Strong organizational and project management capability.
- Excellent research skills and clear written communication.
- High standards of discretion and professionalism.
- Ability to work independently and anticipate what is needed next.
- Comfort juggling several priorities and projects at the same time.
- Interest in travel, the arts, culture, hospitality, or philanthropy is an advantage.
