Job purpose
This position focuses on providing administrative and operational coordination support so that daily business activities run efficiently. The role involves organizing resources, monitoring operational progress, assisting logistics-related tasks, and keeping documentation accurate to support smooth delivery of projects and operations.

The Maritime & Shipping Cluster at AD Ports Group is represented by Noatum Maritime, a globally connected and agile organization with operations across multiple countries. Supported by a fleet of more than 250 vessels and many years of experience, Noatum Maritime provides a wide range of maritime services designed to deliver end-to-end support at sea.
Responsibilities
- Support the day-to-day running of operations across projects and site teams.
- Handle administrative coordination for Operations and Logistics teams, including schedules, records, and communication flow.
- Review and validate daily and monthly timesheets to maintain accuracy and compliance.
- Work with HR, Logistics, Finance, and Operations teams to help allocate manpower, equipment, and other resources correctly.
- Assist with mobilizing and demobilizing manpower according to operational needs and client expectations.
- Monitor project schedules, output, and milestones, and highlight delays when they arise.
- Keep operational reports, files, and records organized and up to date.
- Coordinate with clients to clarify requirements, confirm the scope of work, and keep activities aligned.
- Support travel planning, site access, permit processing, and logistics arrangements for operations staff.
- Help arrange operational meetings, training sessions, and other team activities when required.
- Ensure all coordination work follows company processes and operational standards.
Strategic responsibilities
- Contribute to ongoing improvements in operational workflows by strengthening coordination, monitoring, and reporting methods.
Qualifications
- A bachelor’s degree in Business Administration, Logistics, Supply Chain, or a similar field is required.
- English fluency is mandatory.
- Arabic language skills are considered an advantage.
- Applicants should have 1 to 3 years of experience in operations coordination, logistics, or administrative support, preferably in marine, construction, or service environments.
