Role Overview

AEA Designs is seeking a full-time Document Controller & Project Administrator in Doha, Qatar, to support interior fit-out and design projects across residential, commercial, retail, and hospitality sectors. The environment is fast-moving, highly detailed, and centered on deadlines and delivery standards.

This position is intended for a disciplined, accountable professional who can contribute immediately to active projects. It is not a general administration role; only applicants with practical document control experience in construction or fit-out projects will be considered.

Document Control

  • Oversee the complete document lifecycle, including drawings, RFIs, submittals, method statements, material approvals, BOQs, contracts, and related correspondence.
  • Keep registers, logs, and trackers up to date across several ongoing projects.
  • Manage document exchange among consultants, contractors, subcontractors, and suppliers.
  • Ensure strict version control, approval monitoring, and compliance with project requirements.
  • Use and maintain document control systems such as Aconex or a comparable platform.
  • Organize both digital and hard-copy filing systems in a structured manner.
  • Prepare status updates for project managers and senior leadership.
  • Compile as-built records and final close-out documentation.

Project Administration

  • Provide direct administrative support to project managers and site teams.
