Role overview
The Intermediate Document Controller will support PMO teams with document storage, circulation, and control procedures. This person will be a key contact for documentation-related questions, oversee document control systems, support junior document controllers, maintain compliance with standards, preserve accurate records, and look for ways to improve processes. The role is central to keeping project documentation organised and effective throughout the project lifecycle.
Key responsibilities
- Oversee the creation, tracking, and storage of documents in a central repository so they remain well organised and easy to retrieve.
- Strengthen version control practices so teams always work from the latest approved documents while preserving earlier versions for reference.
- Track document revisions carefully and maintain consistency, accuracy, and control over all versions.
- Coordinate document distribution to internal and external stakeholders so information is shared correctly and on time.
- Make sure all records follow company procedures, sector standards, and regulatory obligations, including the use of approved formats and templates.
- Set up and manage access permissions to protect confidential information and limit access to authorised users only.
- Support smooth communication between team members, stakeholders, and vendors to keep document exchanges moving efficiently.
- Help manage the review and approval workflow so revisions and sign-offs happen in a timely and organised manner.
- Keep detailed logs of document revisions, approvals, and distribution history for audit purposes and future reference.
- Prepare and review reports on document status, activity, and compliance to assist project management decisions.
- Look for ways to improve document systems and workflows so they continue to meet project requirements.
- Prioritise work effectively to meet deadlines and manage document flow across different project stages.
- Identify document-related issues early and resolve complex problems quickly and effectively.
- Guide and support junior document controllers and contribute to a cooperative team environment.
- Carry out other duties or tasks as required by the role.
Experience and skills
The ideal candidate will have at least 5 years of experience in document control, with a strong record of managing project documentation on high-value metro rail projects or work of similar scale and complexity. Experience with quality management and process improvement practices, ideally in the construction sector, is important. The role also requires strong exposure to compliance, quality, and policy-driven document control work, along with hands-on experience using document management systems, databases, and related software.
Qualifications
A minimum Level 8 qualification, or an equivalent degree, is required in a relevant area such as Project Management or Business Administration. The following certifications are helpful but not compulsory: Project Management Professional (PMP) and Certified Document Controller (CDC).
