Role Overview
The company is growing its CRM operations function and is hiring a CRM Administrator to help strengthen the systems, workflows, and processes already in place. This is a high-impact position with close collaboration across CRM leadership, marketing, sales, and student success teams to improve efficiency as the business scales globally.
You will work directly in HubSpot to support direct-to-consumer sales motions, reporting, and daily execution across teams. The role calls for someone who can turn business needs into scalable CRM solutions and who performs well in a fast-moving, collaborative environment.
A major part of the job is helping expand the revenue funnel by improving processes, equipping teams with the right tools and data, and turning operational activity into useful business insights. The preferred candidate is highly detail-focused, proactive, and strongly oriented toward action, problem solving, and continuous improvement.
This is an on-site role requiring five days per week in the office in Gramercy, New York.
Responsibilities
- Work with sales, marketing, and operations teams to improve discipline, efficiency, and execution across the business.
- Design, build, and roll out support systems and processes for sales, marketing, and student success that can scale with growth.
- Partner with cross-functional stakeholders to understand operational requirements and refine existing workflows.
- Help teams adopt process updates and system changes, and support change management communication.
- Develop simple, scalable solutions for everyday operational challenges.
- Maintain strong data quality and accuracy within HubSpot CRM.
- Own attribution infrastructure, including UTM tracking, Google Analytics, and ad platform tracking.
- Connect platforms such as GTM, GA4, and HubSpot.
- Integrate third-party tools with GTM, GA4, and HubSpot, including webinar platforms and Outgrow.
- Create and update documentation for operational processes.
- Prepare ad hoc analyses and support special projects when needed.
- Build and maintain reports and dashboards that enable fast, scalable decision-making.
- Improve process adoption, effectiveness, and consistency across the sales lifecycle.
Requirements
- At least 4 years of experience in business operations, sales operations, success operations, or a similar function.
- Demonstrated success working with sales, marketing, and operations teams on strategic initiatives.
- A bachelor’s degree is required; a master’s degree is preferred.
- Prior experience in a startup setting, ideally having worked in a team of fewer than 50 people.
- Good understanding of sales and customer success functions.
- Strong working knowledge of HubSpot CRM, including report and dashboard creation and maintenance.
- Excellent analytical ability, with the skill to simplify unclear problems into manageable parts and identify the best solution.
- Strong verbal and written communication skills, plus solid organizational ability; project or program management experience is an advantage.
- Strong troubleshooting and problem-solving skills, including knowing when to escalate blockers.
- A results-driven mindset with a focus on practical outcomes.
- Ability to balance performance goals with empathy for people, customers, and the business; flexible and proactive team orientation.
- High energy, humility, and comfort working with different personality types.
- Hands-on approach and willingness to get deeply involved in execution.
