Role overview
The CMMS Administrator will oversee the day-to-day running, control, and enhancement of the Computerised Maintenance Management System (CMMS), specifically SAP PM / S4HANA, supporting Maintenance, Calibration, Automation, and Engineering activities across the site.
This position plays a central role in keeping maintenance and calibration processes running efficiently and in compliance with site and global requirements. It also contributes to asset lifecycle control, master data accuracy, reporting, and improvement work aimed at strengthening equipment reliability, plant performance, and SAP PM usage.
As a site-level subject matter expert, this person will support CMMS processes, digital tools, and engineering data management, while also helping advance digital transformation within Engineering.
Key accountabilities
- Serve as the go-to specialist for CMMS tools and related procedures.
- Administer user accounts, access permissions, roles, and access change requests.
- Deliver CMMS guidance, coaching, and day-to-day user support.
- Build, update, and maintain asset master records and maintenance data.
- Handle work requests, work orders, preventive maintenance tasks, and calibration flows.
- Convert incoming work requests into actionable work orders.
- Track work order status and drive timely closure.
- Maintain accurate maintenance and calibration records and supporting documents.
- Monitor CMMS activity and communicate maintenance progress and status.
- Design and maintain KPIs, dashboards, and reports in Power BI.
- Keep asset structures, bills of materials, and master data in good order.
- Carry out data quality checks, audits, and cleansing exercises.
- Support audits, inspections, and compliance-related activities.
- Assist with SAP PM / S4HANA integrations and system enhancement work.
- Spot opportunities to improve CMMS processes and implement better ways of working.
- Support DD&T, digital adoption, and paperless initiatives.
- Take part in Global Engineering community-of-practice activities.
Candidate profile
The role is suited to someone with strong administrative ability, good stakeholder communication, and a practical understanding of maintenance systems and engineering data.
Experience and technical background
- A degree in Engineering, Information Systems, Computer Science, or a similar field is preferred.
- At least 5 years of experience in Maintenance, Engineering, or Manufacturing with exposure to CMMS is expected.
- Experience in pharmaceuticals or in a GMP / GxP environment is preferred.
- Strong working knowledge of SAP PM and S/4HANA is required.
- Experience with maintenance planning and CMMS workflows is needed.
- Hands-on experience with Power BI reporting and dashboard creation is required.
- Knowledge of GDP and SOP compliance expectations is important.
