Role Overview
We are seeking a meticulous and well-organized HR Operations Assistant to help manage HR administration and day-to-day people operations. This position suits someone who likes keeping documentation in order, staying on top of compliance requirements, coordinating schedules, and supporting both hiring and employee administration.
In this role, you will help ensure employee files remain accurate, important HR actions are tracked, and deadlines, meetings, and routine administrative tasks are completed on time.
HR Operations and Administration
- Keep employee records, personnel files, and HR databases current and properly maintained.
- Gather, check, and arrange employee documents such as KYC paperwork, onboarding files, visa documents, insurance details, and employment records.
- Make sure employee files are complete, correct, and regularly updated.
- Monitor deadlines for document expiry, probation reviews, contract extensions, visa renewals, and similar HR timelines.
- Support onboarding and exit procedures.
- Draft HR letters, forms, and other employment-related paperwork.
- Assist payroll preparation by ensuring employee data and records are accurate.
Recruitment Support
- Help publish job openings across different platforms.
- Arrange interviews and coordinate candidate communication.
- Maintain recruitment trackers and candidate files.
- Support interview coordination and general hiring administration.
- Assist the HR team throughout the recruitment cycle.
Coordination and Scheduling
- Organize meetings, interviews, probation reviews, and employee check-ins.
- Send reminders and follow-ups to employees and managers about meetings, deadlines, and required documents.
- Manage HR calendars and keep key dates visible and well tracked.
- Support coordination of company events, training programs, and employee engagement activities.
Compliance and Record Management
- Ensure employee records meet company policy and documentation standards.
- Handle employee and company information with strict confidentiality.
- Assist with internal audits and document checks by keeping records organized and easy to access.
Requirements
- 1 to 3 years of experience in HR, administration, coordination, or a related role.
- Strong accuracy and the ability to manage several tasks at once.
- Good organizational and time management abilities.
- Strong written and spoken English communication skills.
- Comfort using Microsoft Office tools such as Excel, Word, and Outlook, along with Google Workspace.
- Ability to manage sensitive information professionally.
- Prior exposure to HR systems, especially ZenHR, will be considered an advantage.

Compensation and Benefits
- Monthly salary of AED 6,000 to AED 8,000, depending on experience and qualifications.
