Role Overview
Join the Westpac Facilities Management team as a Facilities Administrator/Coordinator, where the role is centered on strong KPI delivery, effective customer and contractor interaction, operational support, and high-quality administration.
Key Responsibilities
- Oversee reactive invoicing and handle any related questions or discrepancies.
- Process planned preventative maintenance (PPM) invoicing and resolve associated queries.
- Maintain facilities management billing records and files.
- Track work-in-progress through to completion, making sure work orders are closed and invoiced promptly.
- Serve as the first contact for aged debt matters involving both the client and the client’s tenants.
- Prepare and check client billing files for accuracy.
- Create client reports, including expenditure trend analysis and actual-versus-budget tracking.
- Take part in client and vendor meetings and present financial reporting updates.
Candidate Profile
The ideal candidate will bring strong administrative capability, solid facilities or property experience, and the confidence to work in a fast-moving environment. You should be comfortable handling call-centre style facilities/property support, solving problems quickly, prioritising competing tasks, and producing polished documentation for client submission.
