This position reports to the Sr. Director, Benefits & Risk Management.
Role summary
The Coordinator, Admin Services supports the Front Office by handling reception coverage, day-to-day administrative work, inventory control, and stocking across the ballpark. The role also includes a variety of miscellaneous tasks that help keep the Front Office running smoothly.
Front desk and reception duties
- Act as the first contact for guests and VIPs entering the Front Office lobby.
- Welcome visitors, help with requests, and maintain the daily visitor log through the iPad check-in system.
- Manage the Padres switchboard, route calls, and respond to customer questions when appropriate.
- Take messages when voicemail is unavailable, page employees when needed, and log Clubhouse calls for MLB along with messages for players and Clubhouse staff.
- Keep the workstation clean and professional and make sure the Front Office lobby stays tidy and organized.
Administrative support and office services
- Keep paper products and beverages stocked for the Multi-Purpose Room and kitchen pantries, and refill supplies as needed.
- Support I.T. with operation and upkeep of photocopy machines and ensure paper supplies are maintained.
- Serve as the contact person for vendors during on-site visits, including Cintas, Coca-Cola, Junipers, Corodata, First Class Vending, and others.
- Help with off-site records storage by retrieving and shipping boxes when requested by People & Culture.
- Place office supply orders, track purchases, and make sure spending stays within budget.
- Ensure office supplies remain sufficiently stocked at all times.
- Run errands and complete other miscellaneous tasks as assigned.
- Purchase supplies from Costco, Sam’s Club, and Smart & Final when required.
- Oversee the buying of sodas, bottled water, coffee, and similar items.
- Carry out additional responsibilities assigned by the Sr. Director, Benefits and Risk Management.
- Support People & Culture with administrative projects as needed.
Skills and experience expected
The ideal candidate brings strong communication skills, a collaborative and respectful approach, and excellent customer service for working with employees and outside vendors. Prior cash-handling experience is needed, along with solid computer knowledge, including Microsoft Word, Outlook, and Excel. Familiarity with basic office equipment such as copiers, fax machines, and printers is also important. Spanish fluency is an advantage. Strong organization, time management, multitasking ability, and the ability to keep a neat workspace are essential. The role also calls for professionalism, discretion, integrity, accountability, and dependable, punctual attendance.
Eligibility and job conditions
- Applicants must be at least 18 years old by the time employment begins.
- The schedule requires daily work from Monday through Friday, for 6 hours each day.
- A high school diploma or equivalent is required.
- A minimum of 2 years of prior administrative or related experience is required.
- A valid California driver’s license and a clean driving record are required.
- The job requires the ability to lift and carry up to 25 pounds.
- Employment is subject to successful completion of all post-offer and pre-employment checks, including a background check.
Compensation and additional details
The hourly pay rate for this role is $21.14. Part-time, non-union employees are also subject to the San Diego Living Wage Ordinance, which may increase the rate accordingly.
