Role overview

This position is part of the Global RFP/Proposals Management Team within the wider Global Sales Operations function. The team helps drive institutional sales and client retention across EMEA, North America, and APAC by preparing high-quality responses to RFPs, RFIs, DDQs, and related client and prospect questionnaires.

The department operates as a centralized global team and works closely with Sales Managers, Product Management, Legal, Compliance, Risk, Operations, and Marketing. It supports revenue growth, client acquisition and retention, and consistent, compliant communication across regions and products.

The Proposals Management Writer supports the sales team by developing responses to detailed bid and proposal documents for both prospective and existing clients. The role requires a sound understanding of the proposal lifecycle, the ability to work independently within defined frameworks, and the judgment to know when to seek support from senior team members. Beyond day-to-day proposal work, the role also contributes to content management, team initiatives, and wider problem-solving efforts.

Responsibilities

  • Draft responses for RFPs, RFIs, and due diligence questionnaires covering client segments such as pension funds, sovereign wealth funds, corporates, insurance firms, and investment managers.
  • Own allocated parts of the response workflow by arranging meetings, monitoring progress, and keeping deliverables on schedule.
  • Gather information from approved resources and draft accurate, consistent responses with care and initiative.
  • Adapt standard content to suit individual client needs, involving senior colleagues when deeper customization is needed.
  • Work with subject-matter experts, sales, and relationship teams to obtain information and prepare client-focused submissions.
  • Keep the RFP content library current, complete, and aligned with internal quality standards.
  • Coordinate with other business areas to ensure factual information remains accurate and up to date.
  • Support research and development of new database content for new products, services, or regulatory changes.
  • Assist with AI adoption and process-improvement efforts aimed at raising proposal quality and efficiency.
  • Raise complex or unfamiliar issues with senior colleagues and apply feedback constructively.

Requirements

  • Excellent written communication skills and a strong eye for detail.
  • Ability to understand technical, legal, and regulatory content and present it clearly to clients.
  • Well-developed organization skills and a disciplined approach to managing workflow.
  • Confidence in working with senior stakeholders and subject-matter experts.
  • Analytical thinking with the ability to spot trends, risks, and opportunities for improvement.
  • Professionalism, reliability, and a strong sense of accountability.
  • Strong teamwork and relationship-building skills across global teams and time zones.
  • Knowledge of institutional investment products, asset servicing, or capital markets is preferred.
  • Ability to manage several complex assignments at once while meeting tight deadlines.
  • Awareness and practical use of AI/Copilot tools is preferred.

Working environment and additional information

The role is based in Limerick, County Limerick, Ireland and is a full-time onsite position.
