Job description

Role overview

This position is responsible for overseeing the secure intake, temperature-regulated storage, and accurate SAP-based release of raw materials and packaging materials throughout the facility. The role also supports GMP compliance, investigates the causes of issues, trains team members, and works closely with procurement and finance to close out any inconsistencies.

Key responsibilities

Material handling and inventory control

  • Check and manage raw materials and packaging materials from receipt to storage, retrieval, and issue, making sure every physical item matches the related paperwork.
  • Operate SAP processes accurately and keep material locations, inventory balances, and production returns updated in real time.
  • Release materials against material transfer vouchers for planned batches based on weekly and monthly production plans, and update the system promptly when handover is completed.
  • Carry out cycle counts and physical stock audits on a routine basis, comparing actual quantities with SAP records to avoid mismatches.
  • Prepare goods receipt reports for incoming shipments and maintain item records as well as warehouse status reports in a secure and organized manner.
  • Prepare material destruction forms for expired, blocked, or obsolete stock, upload approved records to the EDE site, and supervise disposal as per procedure.

Quality assurance, QMS, and compliance

  • Complete logbooks, checklists, and other required records accurately and on time while following GMP and data integrity expectations.
  • Handle quality management system activities through the Ample-logic platform, including deviations, CAPA, change controls, and AMs.
  • Ensure materials are tested, released, and stored in line with written procedures, and prevent mix-ups between different codes and batches.
  • Review and revise related SOPs regularly so they stay aligned with current site practices.

Facility, storage, and HSE

  • Track storage conditions by reviewing printed temperature and relative humidity trends, and control inventory for cold room, refrigerator, and freezer materials.
  • Manage access to restricted areas such as the printed packaging store, rejected store, and cold store, while strengthening overall site security.
  • Support environmental performance goals and help build a strong HSE culture by ensuring the team follows EMS and HSE requirements.
  • Lead root cause analysis and incident investigations, and make sure corrective and preventive actions are implemented.
  • Oversee housekeeping and routine cleaning, keeping the area orderly and arranging maintenance support whenever required.

Cross-functional coordination and leadership

  • Work with procurement to resolve PO release issues, inbound delivery quantities, and storage locations.
  • Coordinate with finance to secure shipment document release for new raw material and packaging material consignments.
  • Escalate material damage, suspected concerns, or operational deviations to management without delay.
  • Provide on-the-job training to warehouse staff so they fully understand and follow written procedures and safety rules.

Qualifications

  • A bachelor’s degree in Pharmaceutical Sciences, Business Administration, Supply Chain Management, or a closely related discipline is required.
  • At least 6 years of experience in pharmaceutical manufacturing is needed.
  • Strong computer skills are essential, including advanced use of Microsoft Excel.
  • Working knowledge of SAP warehouse management modules, eQMS tools such as Ample-logic, and temperature or environmental monitoring systems like Vaisala or SIRIUS is a strong advantage.
  • The role calls for strong analytical ability to review reports, validate stock, and investigate root causes.
  • Excellent spoken and written English is necessary, along with the ability to work effectively with quality, production, procurement, and finance teams.
