Role overview
The Warehouse Officer plays an important role within the Supply Chain function and is responsible for managing warehouse operations, inventory control, and the movement of goods. The position ensures that IRC inventory policies are followed for all project items, including cycle counts, variance management, pharmaceutical quality assurance, and cold chain handling where required.
Key responsibilities
This role covers receiving and dispatching goods, maintaining warehouse records, conducting inventory checks, overseeing safety practices, and preparing reports. The officer also coordinates with supply chain colleagues and program teams to keep stock information accurate and to reduce the risk of shortages.
Receiving and dispatching goods
- Accept deliveries from suppliers and other sources, then record them properly.
- Check incoming goods carefully and update the required paperwork.
- Work with the Supply Chain Coordinator to alert program teams about possible stock-outs and inventory levels.
- Set up and manage cold chain storage and handling when needed.
- Inspect outbound shipments and ensure all shipment records are revised.
- Manage in-kind donations (CIK) and inventory from closed grants.
- Arrange stock replenishment whenever required.
- Maintain complete and accurate documentation at all times.
- Ensure shipments leave on time and documents remain current.
- Follow IRC Global Supply Chain SOPs.
Warehouse documentation
- Keep stock records, bin cards, and inventory systems updated on a regular basis.
- Use standard warehouse tools and documents such as Delivery Reports, Waybills, Store Releases, Bin Cards, and Stock Cards.
- Maintain organized warehouse registers.
- Make sure the authorization schedule is updated and visibly posted.
Warehouse controls
- Take part in end-of-year stock counts.
- Support cycle counts, which account for 20% of inventory checks.
- Carry out internal checks and document any differences found.
- Apply FIFO, FEFO, and LIFO stock rotation methods correctly.
- Organize storage areas in an efficient manner.
- Supervise daily laborers as needed.
Safety and security
- Control access to the warehouse.
- Follow and enforce safety procedures.
- Ensure warehouse equipment is maintained properly.
- Implement pest control measures.
- Keep fire extinguishers serviced and ready for use.
Reporting
- Prepare accurate inventory reports within required timelines.
- Update distribution plans as needed.
Working relationships
- The position reports to the Supply Chain Coordinator.
- There is no direct supervisory responsibility for permanent staff.
- Internal coordination is required with program and operations teams.
- External contact is mainly with suppliers.
Requirements
- A diploma in logistics, supply chain, or a closely related field is required.
- Between 3 and 4 years of experience in supply chain work is expected.
- Prior experience in a multicultural environment is preferred.
Skills
- English communication is an advantage, though not mandatory.
- Proficiency in Microsoft Office 365 and Dynamics 365.
