Role overview
The Virtual Care Referral Coordinator supports the handling of referral workflows across internal and external orders, with a focus on specialty and imaging coordination. This role helps arrange appointments, confirm insurance coverage, gather results and medical records, and keep both providers and members informed throughout the process.
Included Health is focused on raising the standard of care by connecting members with high-quality virtual and in-person healthcare support. The ideal person in this role is highly organized, service-oriented, and motivated to make a meaningful difference for members.
What you will do
- Support members by phone and messaging within a virtual primary care environment, making sure referrals, prior authorizations, and related orders are routed correctly and completed.
- Help members with directions, facility details, and direct contact numbers for appointments.
- Coordinate medical records so that required documents, imaging, and procedural results are available to outside providers before visits and are also added to the internal chart for review.
- Manage medical records tasks and incoming records requests as needed.
- Assist clinicians with patient paperwork such as Medical Opinion forms and SSI Disability forms when appropriate.
- Partner closely with providers, care teams, patient support, compliance, and other internal groups to keep work moving smoothly.
- Operate effectively in a fast-moving environment with shifting and competing priorities.
What the role requires
- Strong written and verbal communication abilities.
- Excellent people skills and a service-first approach.
- Strong organization, accuracy, and attention to detail.
- Solid time management and the ability to work to deadlines.
- Careful note-taking and clear documentation of actions taken.
- Comfort using Google Suite or similar productivity tools.
- Strong problem-solving ability and practical critical thinking.
- Previous experience in a physician office or medical setting, ideally with exposure to managed care and primary care processes.
- Ability to work independently and use available resources to resolve questions.
- Capability to manage multiple tasks and priorities at the same time.
