Role overview

This position sits within a health-focused, globally minded organisation committed to improving outcomes for people and animals. The role is for an organised and detail-driven Transport Clerk based in Leeds, supporting the smooth planning and coordination of transport activity.

The purpose of the job is to help ensure that vehicles are scheduled on time, drivers are assigned appropriately, and routes are organised effectively for both internal operations and external customers.

Key duties

  • Build and maintain a solid working knowledge of transport processes and operational procedures.
  • Arrange deliveries according to Service Centre needs and third-party requirements, while keeping driver rota compliance in mind.
  • Prepare and distribute driver paperwork such as route maps, uplift notes, and vehicle inspection sheets.
  • Check driver timesheets for accuracy, including vehicle information and shift hours, and quickly flag any mismatches.
  • Carry out end-of-shift driver debriefs and make sure all documents and PODs are returned and complete.
  • Brief agency workers before shifts and provide the necessary documents and equipment, including fuel cards and gate passes.
  • Track agency hours and send them for payroll processing on time.
  • Handle tachograph records in line with legal requirements and report any compliance concerns.
  • Review tachograph charts and prepare infringement reports.
  • Work out weekly fuel performance figures for hire vehicles and share the results with management.
  • Keep daily fleet KPI information up to date, including fuel use, mileage, and associated costs.
  • Enter wage information from driver timesheets accurately and submit it to Payroll by the required deadlines.
  • Monitor driver hours to ensure compliance with the Working Time Directive.
  • Ensure PODs are sent to Head Office to support debt recovery activity.
  • Order driver uniforms in line with internal approvals and purchasing procedures.
  • Keep filing systems organised, accessible, and properly maintained.
  • Provide support across wider transport administration tasks whenever needed.
  • Prepare clear handover notes for holiday cover.
  • Receive visitors professionally and follow Health & Safety procedures at all times.
  • Maintain a tidy office space and ensure documents are archived correctly.
  • Escalate issues that need management input or decision-making.
  • Follow all Health & Safety policies and standards.

Requirements and experience

  • Working knowledge of transport operations and internal procedures is preferred.
  • Understanding of route planning is desirable.
  • Strong focus on accuracy and attention to detail.
  • Clear communication and customer service capability.
  • Self-motivated with the ability to work on own initiative.
  • Professional telephone manner.
  • Good computer skills, particularly in MS Word and Excel at an intermediate level.
  • Competent keyboard and data entry skills.
  • Strong numeracy and written literacy.

Pay and other information

The role is based in Leeds, England, United Kingdom and is a full-time onsite position. The stated pay is £12.95 per hour.
