Role overview

The Transcription Coordinator is responsible for making sure transcripts are typed accurately, finalized, and sent to clients on time and in line with the production plan and style requirements. This role works as part of a team and partners closely with the Transcription Manager/Practice Manager to assign transcribers, coordinate jurisdictions, and support both same-day and delayed transcript work. The position also includes cross-training across jurisdictions and may involve project-based transcription support.

Key duties

  • Work with the Transcription Manager/Operations Manager and fellow coordinators to allocate jurisdictions.
  • Support assignment and reassignment of transcribers for same-day and delayed transcription across different jurisdictions.
  • Compile, finalize, and dispatch transcripts while meeting client expectations and internal quality targets.
  • Set up transcript orders and production tasks as needed.
  • Create folders and other required directories before transcript work begins.
  • Keep transcript delivery details up to date.
  • Monitor multiple email inboxes and distribution groups.
  • Share relevant case and job information with transcribers.
  • Send transcripts to clients using the required delivery channels.
  • Check audio against indistinct or inaudible transcript markings.
  • Review transcripts made from difficult audio or recordings with poor speakers.
  • Carry out transcription work when needed.
  • Provide billing details for transcripts to the Operations Manager/Administration Team.
  • Support ad hoc projects.
  • Carry out quality checks on transcribers when directed by the Operations Manager and Quality Assurance Lead Analyst.
  • Assist with transcriber training as required.
  • Support the Transcription Manager with additional operational tasks.
  • Act as second-in-command to the Transcription Manager and provide cover when needed.
  • Stay closely connected with the Monitoring team.
  • Maintain daily communication with transcribers through email and instant messaging.
  • Keep communication clear, concise, and aligned with business needs.
  • Help maintain a safe and healthy work environment by following company safety procedures and practices.
  • Be willing to work outside normal business hours when necessary.

Qualifications and traits

This role suits a collaborative team player with strong communication skills, excellent attention to detail, a customer-oriented mindset, and strong written and spoken English. Applicants should have completed high school and bring around six months to one year of basic office administration experience.

Pay details

Salary is determined individually based on the local market rate, the candidate’s fit against the job requirements, performance during screening and interviews, and internal pay alignment for the location. Full package details will be shared during the initial screening call with the Talent Acquisition Team.
