Role Overview

The Total Spare Management Administrator is responsible for overseeing and controlling semiconductor manufacturing spares across plants and production lines so equipment uptime is protected.

The role centres on maintaining accurate spare-parts master records, managing inventory, handling spare requests, supporting stock checks, and planning readiness in line with semiconductor manufacturing needs.

After the training period is completed, the position will move to a hybrid working pattern of 3 days onsite and 2 days working from home, subject to manager discretion.

Key Responsibilities

  • Administer the spare-parts system, including spare module, ERP, and CMMS integrations, while keeping item setup and lifecycle status accurate.
  • Maintain complete and up-to-date master data for critical spares, including part numbers, alternates, BOM or kit definitions where applicable, manufacturer references, compatibility details, substitutes, lead times, minimum order quantities, storage needs, and serialisation or traceability rules if used.
  • Oversee the end-to-end spare flow, from receiving and put-away confirmation through inspection or quality-check coordination where needed, to issuing parts to maintenance or production teams under approved procedures.
  • Process returns, scrap or write-off actions, and support root-cause analysis for any discrepancies.
  • Monitor stock health for critical equipment by managing minimum and maximum levels, reorder points, safety stock, and buffer planning.
  • Ensure the right part is selected for the relevant equipment model or production line, and support timely fulfilment to help reduce downtime.
  • Carry out and support cycle counts, audits, and reconciliations, then investigate variances and document corrective actions.
  • Support uptime planning by tracking A, B, and C critical spares, or equivalent company-defined criticality categories, along with consumption patterns and slow-moving or excess inventory.
  • Report spare-performance metrics to leadership, such as stock availability, service levels, reasons for stock-outs, request turnaround time, overdue orders, and supplier lead-time performance.
  • Work closely with Procurement and Supply Chain teams to trigger replenishment actions and keep vendor records aligned with purchasing requirements.
  • Ensure compliance with semiconductor-specific handling and storage rules, including ESD-safe practices, cleanliness and packing standards where relevant, and traceability and document-retention expectations for controlled components.
  • Maintain controlled access, follow governance procedures, apply standard approval workflows, and manage master-data changes through proper change-control processes.

Requirements

  • A diploma or degree in Engineering, Supply Chain, Logistics, or Business, or equivalent practical experience.
  • Previous experience in spare-parts administration, inventory control, or support for equipment maintenance.
  • Working knowledge of ERP, CMMS, or inventory platforms such as SAP, Oracle, or Maximo.
  • Strong ability to maintain accurate data and perform reconciliations.
  • Intermediate to advanced Excel skills, including reporting, pivot tables, and inventory analysis.
  • Experience in semiconductor manufacturing or other high-tech maintenance environments.
  • Understanding of spare criticality, lead-time planning, and reliability-based inventory practices.
  • Familiarity with maintenance or production downtime processes and CMMS workflows.
  • Performance will be measured using indicators such as inventory accuracy variance, spare request cycle time, critical stock-out frequency and severity, replenishment compliance, and reduction of excess or obsolete spares while protecting availability.

Working Arrangement
