Job Summary

The Talent Acquisition Specialist will oversee and enhance post-selection hiring operations for high-volume recruitment programs. This role involves using independent judgment to ensure hiring processes are efficient, compliant, and scalable, covering offer development, pre-employment screening, and candidate progression within Workday. The Specialist will collaborate with Recruiting, HR Operations, and Onboarding teams to improve hiring results, identify process improvements, and resolve issues affecting candidate experience and time-to-hire. Success in this role requires strong analytical skills and the ability to balance speed, quality, and compliance in a fast-paced setting.

Essential Job Functions

Hiring Operations and Execution

  • Manage complete post-selection hiring workflows, ensuring alignment with business objectives and recruitment needs.
  • Proactively prioritize candidate pipelines and address workflow blockages to maintain recruitment momentum.
  • Assess hiring progress and suggest modifications to boost productivity and efficiency.

Offer Strategy and Administration

  • Prepare and extend verbal and written job offers using standard Workday templates.
  • Verify offer details, including compensation, start dates, locations, and contingencies, against approved guidelines.
  • Address candidate inquiries using provided scripts and escalate any exceptions as needed.

Background Checks & Pre-Employment Screening

  • Initiate and monitor background checks and pre-hire screenings for high-volume positions.
  • Adhere to established escalation procedures for any results, delays, or issues.
  • Provide status updates to recruiters, hiring teams, and candidates as necessary.

Workday Transactions & Data Integrity

  • Perform accurate Workday transactions for candidate status, offers, and hires.
  • Maintain candidate and hiring records that are clean and ready for audits.
  • Promptly identify and rectify data inaccuracies to support subsequent onboarding and payroll processes.

Handoff to Onboarding

  • Execute structured handoffs to the Onboarding Specialist once candidates are cleared for hire.
  • Confirm all necessary approvals, documentation, and system steps are completed before the start date.
  • Collaborate with the onboarding team to minimize issues on the first day and reduce rework.

Process Adherence & Team Support

  • Follow established workflows and Service Level Agreements (SLAs) for high-volume hiring.
  • Report process bottlenecks or recurring problems to the Recruiting Operations lead.
  • Provide flexible and urgent support during peak hiring periods.
