Job Summary

This role is focused on carrying out procurement, logistics, and inventory functions so the business can source goods and services efficiently, on time, and in line with policy. The position supports operational and project delivery by ensuring purchases follow approved authority levels, budget controls, and governance requirements. It also helps protect margins, maintain audit readiness, and secure dependable supply across a regulated energy and infrastructure setting.

Key Responsibilities

The Supply Chain Specialist will manage sourcing, supplier coordination, inventory oversight, and supply chain reporting while working closely with internal teams and external partners.

  • Obtain competitive quotes from approved vendors and original equipment manufacturers in accordance with purchasing policies.
  • Prepare and manage RFQs, RFPs, and tender or bid documents.
  • Run bid reviews and produce evaluation summaries comparing commercial and technical aspects.
  • Negotiate pricing, payment terms, and delivery conditions within company limits and budget frameworks.
  • Raise purchase orders according to delegated approval limits.
  • Contribute to annual, quarterly, and project-specific procurement planning.
  • Handle supplier due diligence, onboarding, and registration.
  • Keep the approved supplier database and vendor performance records current.
  • Monitor supplier performance and support vendor appraisal activities.
  • Develop reliable supplier relationships that improve responsiveness and continuity of supply.
  • Resolve supplier disagreements, mismatches, and service issues with the relevant teams.
  • Track purchase order progress and follow up with suppliers and freight partners to keep deliveries on schedule.
  • Watch estimated delivery dates and escalate any possible delays or supply risks.
  • Oversee inventory systems and ensure stock records and usage data remain accurate.
  • Match goods received with purchase orders and close out discrepancies quickly.
  • Maintain clear records for goods receipts and inventory movements.
  • Review procurement costs each month to ensure spending stays within approved budgets and targets.
  • Investigate invoice variances, framework agreements, and system outputs to confirm financial accuracy.
  • Support cost-saving and optimization efforts without affecting operations.
  • Assist with strategic sourcing analysis, including make-or-buy and freight optimization studies.
  • Ensure payment assurance processes and internal financial controls are followed.
  • Use procurement systems and ERP tools to support sourcing, tracking, and reporting.
  • Keep all procurement documents complete, accurate, and ready for audit review.
  • Help improve procurement policies, procedures, and workflow efficiency.
  • Prepare supply chain reports and insights for management decisions.
  • Maintain compliance with internal controls, quality standards, and relevant regulatory or contractual obligations.
  • Work with Operations, Finance, Legal, and other teams to align procurement with business requirements.
  • Provide management with timely updates on supply risks, delivery timing, and cost impact.
  • Coordinate with freight forwarders and logistics partners.
  • Support project delivery through structured procurement coordination.

Requirements

  • At least 5 to 7 years of experience in procurement, supply chain, or logistics, ideally in power, utilities, infrastructure, or another regulated sector.
  • Proven ability to manage sourcing activities, supplier relationships, and procurement systems.
  • Strong knowledge of procurement and strategic sourcing practices.
  • Familiarity with contract and purchase procedures.
  • Experience in vendor due diligence and supplier performance management.
  • Capability in inventory control and logistics coordination.
  • Ability to analyse costs and manage budgets effectively.
  • Working knowledge of ERP and procurement platforms.
  • Understanding of payment assurance mechanisms.
  • Awareness of quality management systems.
  • Experience supporting project-based procurement activities.
  • Competence in data analysis and reporting.
  • Commercial negotiation skills.
  • Proficiency with MS Office and contract lifecycle management tools.
  • High integrity, accountability, and a strong sense of ownership.
  • Analytical and numerate with a detail-oriented approach.
  • Excellent planning, organisation, and time management skills.
  • Strong interpersonal and stakeholder management abilities.
  • Ability to manage several tasks and deadlines at once.

  • Bachelor’s degree in Engineering, Supply Chain Management, Business Administration, or a related discipline.
  • Professional certification such as CIPS or an equivalent qualification is a plus.
  • Hands-on experience with ERP systems is required.
