Role overview
This position is for a highly structured and detail-driven Supply Chain & Operations Coordinator who will oversee the full flow of travel retail products, from planning and buying through distribution and inventory control. The role connects suppliers, customers, logistics partners, and internal teams to keep products available, orders moving smoothly, and operational data accurate.
Core responsibilities
- Estimate product demand across the customer base and support demand planning.
- Create, place, and monitor purchase orders with suppliers.
- Record incoming stock when goods arrive and ensure receipts are captured correctly.
- Check and approve supplier invoices.
- Review incoming customer orders and confirm them for processing.
- Arrange shipment schedules and coordinate outbound deliveries.
- Prepare shipping papers, customs documents, and related paperwork.
- Share the required documents with customers after shipment.
- Raise invoices for customers and follow up on billing matters.
- Handle and resolve customer complaints related to fulfilment or operations.
- Prepare demand forecasts and pass them on to suppliers.
- Organize product returns back to suppliers when needed.
- Serve as the main operational contact for supplier questions and follow-ups.
- Build sales and stock forecasts for important suppliers.
- Assist with stock planning and replenishment activities.
- Compile operational reports and performance analysis as requested.
- Prepare quarterly delivery and goods-receipt reports for UK VAT compliance.
- Make sure processes and documentation align with legal and company standards.
- Answer operational questions from customers, suppliers, and internal teams.
- Develop strong coordination across supply chain, logistics, finance, and commercial functions.
- Contribute to process improvements and better reporting practices.
Qualifications and experience
- Background in supply chain, logistics, or procurement, ideally within FMCG, travel retail, or airline-related businesses.
- Good understanding of inventory control and order fulfilment workflows.
- Hands-on experience dealing with suppliers, freight companies, and international customers.
- Strong administrative skills with a careful eye for detail.
- Comfort using Microsoft Excel and ERP or inventory management software.
- Clear communication skills in English; other languages are a plus.
- Ability to juggle several priorities in a busy, fast-moving environment.
- Desirable: familiarity with airline retail or inflight product ranges.
- Desirable: knowledge of UK VAT rules linked to cross-border trade.
- Desirable: experience working with third-party logistics providers.
