An Overview Of This Role

As a Stock Administrator at GitLab, you will be instrumental in managing our global equity programs, which include stock options, restricted stock units (RSUs), performance stock units (PSUs), and the Employee Stock Purchase Plan (ESPP). This position is crucial for ensuring the accuracy, compliance, audit-readiness, and clarity of our equity data, reporting, and processes for all GitLab team members. You will report to a team that collaborates closely with Finance, Accounting, Payroll, Legal, and People Operations, and you will have significant responsibility for daily operations, reconciliations, reporting, and supporting team members. In your initial year, you will establish yourself as a trusted owner of audit-sensitive workflows, enhance documentation and reconciliations within our SOX-compliant framework, and contribute to improving the clarity and efficiency of stock plan operations in a fully remote, asynchronous company.

What You’ll Do
  • Oversee daily data integrations between Workday, E*TRADE, and Equity Edge Online, verifying the accuracy and completeness of records.
  • Address and resolve integration and data discrepancies by collaborating with internal stakeholders and external vendors in a timely and well-documented manner.
  • Maintain precise equity records within Equity Edge Online.
  • Execute all necessary reconciliations for each reporting cycle.
  • Support the release of restricted stock units through detailed data analysis and validation, including reviewing account activation status, W-8BEN completion, and foreign disbursement coding.
  • Generate routine and ad hoc equity reports for Finance, Accounting, Payroll, Legal, and People Operations to support strategic planning, financial reporting, and compliance obligations.
  • Serve as the primary point of contact for stock-related inquiries via HelpLab, triaging questions and providing clear, accurate assistance to GitLab team members.
  • Conduct SOX key report completeness checks and maintain comprehensive documentation supporting equity-related controls, reconciliations, and audit requests.
  • Spearhead process improvements to enhance the efficiency, transparency, and reliability of stock plan operations across global workflows.
What You’ll Bring
  • Demonstrated experience in equity compensation administration, public accounting, or SOX and internal audit, with exposure to equity transactions, compliance reporting, or stock-based compensation testing.
  • A solid understanding of SOX control and audit documentation standards, including the preparation of work papers that clearly articulate calculations, assumptions, and supporting details.
  • Familiarity with E*TRADE and Equity Edge Online platforms; experience with Equity Edge Online workflows is advantageous.
  • Proficiency in data analysis, reconciliation, and validation, including experience handling large datasets using Microsoft Excel or Google Sheets.
  • The ability to accurately manage detailed, high-volume workflows in an audit-sensitive environment.
  • Effective communication skills to foster collaboration with Finance, Payroll, Legal, and People Operations in a remote, asynchronous setting.
  • Comfort in directly supporting team members through written explanations, issue triage, and equity-related communications.
  • A willingness to consider relevant experience from adjacent fields and a commitment to completing CEP Level 1 certification within 18 months of employment; current CEP candidates or holders are preferred.
About The Team

The Stock Administration team is a focused, specialized group responsible for managing GitLab’s global equity operations and ensuring compliance with reporting, tax, and regulatory requirements. The team collaborates with Finance, Accounting, Payroll, Legal, and People Operations across various time zones in an all-remote, asynchronous setup, with some necessary overlap during US stock market hours. Given the team's critical role in SOX reporting, daily operations include rigorous accuracy checks, completeness reviews, reconciliations, and formal documentation. This team is ideal for individuals who are detail-oriented, take ownership of critical operational tasks, and are motivated to improve how equity programs scale with GitLab’s growth.
