Job description
Role Overview
In this position, you will support the Manager, Event Services by running the volunteer program and contributing to hospitality and special event execution. The role is based in Miami, FL and is focused on delivering smooth event operations for large-scale golf and sports events.
Qualifications
- A bachelor’s degree is preferred, especially in Sports Administration, Business Administration, Marketing, or Communications.
- You should bring 2 to 3 years of prior office management experience.
- Experience with golf tournaments or sports event planning and operations is an advantage.
- Strong working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook, is required.
Responsibilities
- Assist the Manager, Event Services in overseeing the Event Services intern.
- Run the volunteer program, which includes more than 1,000 participants.
- Act as the point of contact between event staff, PGA TOUR staff, and vendors for volunteer-related needs.
- Manage the registration workflow, including application creation and volunteer recruitment.
- Handle ongoing communication with volunteer leadership and the broader volunteer base through meetings and newsletters throughout the year.
- Coordinate the volunteer apparel program, including ordering uniforms, tracking inventory, and distributing items.
- Lead volunteer training efforts by planning schedules and creating training materials.
- Supervise volunteer hospitality, including food and beverage arrangements and venue setup.
- Bring forward new ideas to improve the volunteer program.
- Work with TOUR Marketing on creative volunteer-related projects.
- Support budget-related tasks for volunteer operations, including purchase orders, expense allocation, and overall financial tracking.
- Assist with hospitality operations in partnership with the Event Services and Operations teams, including setup, upkeep, and teardown.
- Help deliver pre-event, event-week, and post-event activities such as Pro-Am, Am-Am, Honorary Observers, Volunteer & Charitable Events, and other special functions.
- Travel to other PGA TOUR events to support pro-am, housing, transportation, hospitality, special events, honorary observer programs, and similar needs.
- Take on additional special projects as needed.
Requirements
- Bachelor’s degree preferred in Sports Administration, Business Administration, Marketing, or Communications.
- Two to three years of office management experience required.
- Exposure to golf tournaments or sports event operations preferred.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook required.
Additional Information
This role reports to the Manager, Event Services and involves managing a large volunteer operation while also supporting hospitality, special events, and cross-team coordination. Travel is part of the job, including support for other events outside Miami.
