Role Overview

D'Leon Consulting Engineers is hiring a Senior Project Assistant for its Seattle, WA location. This position focuses on construction project support, contract documentation, document control, and coordination across multiple stakeholders.

Core Responsibilities

  • Set up, run, update, and support the Contract Management System used for official project records and document control; the current platform is OpenText.
  • Carry out project closeout activities and file both physical and digital CMS records using the active archiving database and Iron Mountain offsite storage.
  • Check contractor submittals for compliance with contract requirements and make sure stakeholder responses are routed properly through the CMS.
  • Assist the CM team with project meetings by preparing materials, making copies, organizing schedules, tracking items, and recording meeting minutes.
  • Create, update, and maintain project logs such as RFIs, submittals, NCRs, and related tracking tools.
  • Support the preparation, estimating, documentation, and execution tracking of contract change orders.
  • Help process pay requests for construction contracts and maintain pay estimate tracking records.
  • Assist with maintaining construction photos, logs, and other monitoring or tracking documentation.
  • Review plans and specifications to update RFIs and keep as-built and redlined drawing records current.
  • Support the preparation of construction bulletins, field directive change notices, and unit quantity analysis.
  • Coordinate with Port departments, contractors, and tenants to ensure proper documentation and execution of utility shutdowns, CAFs, site access requests, and key requests.
  • Manage correspondence and construction records, including serial letters, commission memos, meeting notes, and related contract documents.
  • Assist with constructability review by providing feedback on plans and specifications.
  • Provide broader construction management support as needed by Port CM.

Qualifications

  • A bachelor’s degree in Construction Management, Engineering, Business Administration, or a closely related discipline is preferred, although comparable experience may be accepted.
  • Applicants should have 5 to 7 years of experience in construction project support, contract administration, or document control.
  • Hands-on experience with a Contract Management System or document management platform such as OpenText, Procore, e-Builder, or a similar tool is required.
  • Strong command of Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Highly organized with the ability to juggle several logs, tasks, and deadlines at the same time.
  • Effective written and spoken communication skills for working with internal teams, contractors, and other stakeholders.
  • Background in preparing meeting minutes, tracking action items, and supporting project meetings is expected.
