Role Overview

Abdul Latif Jameel is looking for a Senior Office Manager to support senior leadership and coordinate key office operations in Jeddah. The role focuses on keeping communication flowing, managing confidential information, organizing schedules and meetings, and ensuring daily administrative work is handled efficiently in a multinational corporate setting.

Key Responsibilities

  • Handle messages and requests directed to the Director, route them to the right team members, and follow up until they are addressed.
  • Collect background materials for meetings, compile data from files and other sources, and prepare information needed for reports and statistics based on verbal instructions.
  • Manage routine departmental tasks and make day-to-day decisions that help maintain smooth work movement and information flow.
  • Prepare confidential documents for the Director, other managers, and department staff while keeping all information secure.
  • Store and control highly sensitive files, letters, reports, and records so access is limited to authorized personnel only.
  • Receive and log sensitive documents and confidential correspondence from senior management, colleagues, and external sources.
  • Draft responses to routine queries and prepare suggested replies for non-routine matters as directed.
  • Support the Director with daily coordination, calendar management, reminders, and upcoming appointments.
  • Organize meetings, visits, travel, hotel bookings, tickets, and transport arrangements.
  • Review incoming correspondence and reports, prioritize urgent items, send them to the right people, and track responses to ensure timely follow-up.
  • Prepare, format, and generate reports for the Managing Director.
  • Take initiative in making inquiries, preparing standard correspondence, and responding to routine requests when needed.
  • Follow up on transactions and coordination needs with other divisions and departments across the company.
  • Maintain effective filing and retrieval systems in both physical and electronic formats.

Requirements

  • Minimum 3 years of relevant experience in a comparable role, ideally within a multinational corporate environment.
  • Bachelor’s degree in Administration or a related field.
  • Strong command of both English and Arabic for communication with stakeholders at all levels inside and outside the organization.
  • Ability to prioritize competing tasks and manage multiple assignments effectively.
  • Strong tact, discretion, and judgment when preparing or handling sensitive information.
  • Well-developed self-correspondence skills and the ability to draft professional communication independently.

This is a full-time onsite position based in Jeddah, Makkah, Saudi Arabia. The role involves working with confidential material, coordinating senior-level schedules, and supporting cross-departmental communication in a corporate environment.
