Role overview
WorkMoney, Inc. is hiring a Senior Manager, Administration to serve as a key operational partner across systems, internal processes, communications, and administrative support. Reporting to the Director, Administration, this person will help strengthen day-to-day operations, improve workflows, support internal communications, and keep organizational tools, records, and systems running smoothly.
This is a permanent, full-time, exempt role based in the United States and performed remotely, with less than 10% travel. The position requires U.S. work authorization.

What you'll do
You will coordinate organizational meetings and governance forums, support labor-management administration, manage internal communications, maintain documentation and knowledge resources, and improve operational procedures. The role also includes vendor coordination, technology and systems administration, cybersecurity-related projects, event support, and records management.
Administration operations and organizational support
- Plan and coordinate governance and operational meetings such as People Manager sessions, all-staff meetings, and Labor Management Committee meetings, including logistics, agendas, documentation, and follow-up.
- Support labor-management work by maintaining confidential records, bargaining-related materials, meeting notes, and management communications.
- Work with the Director of Administration to prepare presentations, logistics, speakers, and supporting materials for organizational meetings.
- Host meetings with strong technical execution, including attendee management, setup, polls, and breakout rooms to create a smooth participant experience.
- Build and keep up-to-date documentation for administrative systems, policies, procedures, processes, and internal resources.
- Spot and escalate inconsistencies, process gaps, operational risks, or system issues, then help drive resolution.
- Design and improve administrative workflows and operating procedures to raise efficiency, consistency, and organizational effectiveness.
Internal communications and knowledge management
- Own recurring internal communications, including the monthly Operations newsletter, and ensure updates are timely, accurate, clear, engaging, and accessible.
- Draft, schedule, coordinate, and share communications through Slack, email, intranet, and organizational announcements.
- Manage and improve the intranet so information stays current, well organized, and easy to find.
- Create and maintain presentations, templates, and communication assets that align with brand standards.
- Handle incoming physical mail securely and efficiently.
Technology, vendor, and systems management
- Act as the point of contact for selected vendors, including IT partners, and help resolve issues in a timely way.
- Maintain an inventory of systems, tools, platforms, and licenses, including access tracking and usage records.
- Partner with stakeholders to improve system adoption, security practices, and staff experience.
- Lead projects that strengthen cybersecurity, improve IT processes, and simplify systems.
- Coordinate training and communications on technology, systems, and security topics with internal and external partners.
- Monitor vendor performance, recommend improvements, and support renewals and implementation work.
Events management
- Support the planning and delivery of organizational events, retreats, and convenings by managing logistics, vendors, budgets, and stakeholder coordination.
Records and information management
- Oversee records management, retention, and archiving practices across the organization to support compliance, access, security, and consistency.
- Recommend and implement improvements to documentation practices, knowledge-sharing, and information management systems.
Requirements
The role calls for someone with at least 5 years of progressive experience in administration, organizational operations, or a closely related function, along with a track record of handling complex priorities and cross-functional initiatives. You should be highly organized, detail-oriented, comfortable managing multiple projects at once, and skilled at improving systems and procedures. Strong communication abilities, confidentiality, stakeholder partnership, and experience with digital collaboration tools are essential.
Must-have qualifications
- 5+ years of increasing responsibility in administration, business operations, organizational operations, or a similar field, including experience managing complex work.
- Strong project management capability and the ability to independently handle several initiatives at the same time.
- Excellent organization and attention to detail, with the ability to balance immediate execution and longer-term improvement work.
- Advanced comfort with digital collaboration tools such as Google Workspace, Zoom, project management software, and intranet or knowledge-base platforms.
- Proven experience improving administrative processes, systems, workflows, or operating procedures.
- Experience managing records, documentation, and information resources with accuracy, accessibility, and compliance in mind.
- Excellent written, verbal, and interpersonal communication skills, including the ability to simplify complex information for different audiences.
- Ability to work effectively with internal and external stakeholders to achieve goals and solve operational problems.
- Strong analytical approach to identifying root causes and proposing practical operational solutions.
- Demonstrated ability to handle sensitive information with discretion and professionalism.
Preferred qualifications
- Background in managing vendors, software subscriptions, licenses, or administrative systems.
- Experience with records management, document retention, knowledge management, or organizational documentation practices.
- Experience supporting retreats, offsites, conferences, or other large-scale events.
- Prior work in a digital-first, fast-moving, or startup-style environment.
Compensation and benefits
The starting salary for this role is $122,000 per year and is not negotiable. The organization offers fully paid medical, dental, and vision insurance, a retirement plan with up to a 6% employer match, and contributions toward student debt repayment. Additional benefits include five weeks of paid vacation, generous paid family and medical leave, and stipends for remote work expenses, professional development, health and wellness, and cell/internet data usage.
