About The RoleThis position will collaborate closely with recruiters, candidates, hiring managers, and other internal teams to ensure an exceptional experience for every candidate. The role also involves supporting key HR coordination tasks to facilitate a smooth transition from offer acceptance through the onboarding process.
Responsibilities- Provide an outstanding candidate experience from initial scheduling through their start date.
- Manage the scheduling and coordination of interviews, ensuring alignment with candidate and interviewer availability.
- Arrange candidate travel, including booking flights, accommodations, and local transportation.
- Act as the onsite host, managing day-of logistics such as candidate check-ins, room arrangements, and initial orientation.
- Welcome candidates and conduct tours of the facility.
- Work proactively with recruiters and hiring managers on scheduling, candidate requirements, debrief sessions, and follow-up actions.
- Partner with the People/HR team to coordinate pre-boarding and onboarding activities, including new hire communications, background check monitoring, document collection, and ensuring Day 1 readiness.
- Assist in onboarding execution by scheduling orientation sessions, informing relevant stakeholders, and ensuring a smooth first week for new hires.
- Maintain accurate candidate and new hire information in the Applicant Tracking System (ATS) and HR systems for compliance and reporting.
- Identify opportunities and propose enhancements for scheduling workflows, candidate interactions, onboarding coordination, and internal systems.
- Previous experience as a Recruiting Coordinator or in a similar role within recruiting, talent operations, or HR coordination.
- A minimum of 2 years of practical experience utilizing applicant tracking systems (e.g., Greenhouse, Lever) and scheduling tools (e.g., ModernLoop, GoodTime).
- Experience supporting onboarding, HR operations, or employee lifecycle processes is highly desirable.
- This position requires a full-time, five-day-per-week on-site presence.
- Experience coordinating scheduling and logistics in dynamic environments such as HR, recruiting, operations, or similar fields.
- Proficiency in calendar management and Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Exceptional written and verbal communication abilities, with a keen eye for detail and strong organizational skills.
- A candidate- and employee-centric approach, committed to delivering positive and professional experiences throughout the interview and onboarding journey.
