About the Role
Barentz is seeking a dedicated Purchasing Specialist to join their team in Boca Raton, FL. This role is crucial for managing the procurement of materials and products to align with production schedules, sales forecasts, and inventory management. The specialist will also facilitate material transfers to meet customer demands and provide essential support to Principal Managers and Account Managers, contributing to business growth and profitability.
Key Responsibilities
- Cultivate strong relationships with key contacts to ensure the smooth and timely delivery of materials.
- Engage effectively with suppliers on commercial matters, including pricing, packaging adjustments, and minimum order quantities (MOQ), aiming to enhance divisional profitability.
- Relay updates on customer opportunities and product inquiries to suppliers.
- Distribute supplier literature and documentation to disseminate product knowledge within the sales team.
- Inform customers about changes in suppliers, products, or documentation through appropriate channels.
- Verify that cost categories are correctly applied and that landed costs are accurately reflected in the system.
- Develop and maintain cost templates (covering freight, duty, tariffs, fees, taxes, etc.) and budgetary price lists.
- Collaborate with operations to monitor inventory levels and manage replenishment, ensuring adequate stock based on regular/seasonal needs and contractual obligations (domestic and international).
- Update supplier lead times within the Datacor/Overdrive systems.
- Undertake custom sourcing projects as directed and supervised by principal management and operations.
- Create new product codes in the ERP system, working with regulatory, commercial, and operations teams to ensure compliance.
- Coordinate special product labeling, repackaging, and blending with internal departments, generating work orders as needed.
- Monitor slow-moving inventory for potential returns, disposal, or special sales.
- Track Net Working Capital and Gross Profit performance, offering support to improve these metrics.
- Identify and investigate instances of unacceptable margins to understand the underlying causes.
- Generate various reports as required.
- Provide regular updates to sales, customer service, and other stakeholders regarding potential risks or opportunities.
- Assist the sales team in determining customer pricing.
- Collaborate with the operations team to ascertain input costs for new product development projects and conduct regular cost and pricing analyses.
- Liaise with Customer Service to achieve optimal on-time and in-full shipment rates.
- Serve as a point of contact for cross-selling and sourcing initiatives across different divisions.
- Work with the Accounting department to ensure the accuracy of supplier rebates and the timely processing of payment information.
- Participate in one-on-one meetings with supervisors to discuss territory business status and growth prospects.
- Communicate with other Account Managers to stay informed about customers and market trends.
- Stay informed about and understand new and existing regulations impacting the organization's products and processes, ensuring compliance.
- Ensure adherence to all relevant facility requirements, certifications, and designations.
- Maintain compliance with ISO 9001, ACD Responsible Distribution, and other applicable quality management principles.
- Contribute to and support the continuous improvement of company processes and systems.
- Share best practices with the team, support staff, and other divisions.
- Become proficient in Barentz-specific systems, including BRM, Vizion, Chempax, Datacor, and SharePoint.
- Act as an internal expert for navigating, interpreting, and processing inventory and orders within systems like Datacor and Overdrive.
- Possess a comprehensive understanding of the purchase order receipt process and serve as a resource for the logistics team.
- Utilize Vizion, Overdrive, Barentz Relationship Management (BRM), and Datacor systems for inventory reporting and sales support.
