Role Summary
As a Proposal Specialist II, you will help CivicPlus secure new business and renew existing relationships by creating tailored, persuasive proposal content for prospective and current customers. You will manage both formal and informal proposal responses, work with cross-functional teams to collect and verify information, and contribute to improving proposal workflows, training materials, and documentation. The role also acts as a reliable team resource and cross-department coordinator to help produce high-quality submissions that meet customer expectations and company standards.
Key Responsibilities
- Develop, organize, revise, and format customized responses for RFPs, RFIs, RFQs, and informal proposal requests.
- Interpret proposal documents to identify the information needed for accurate and on-time submissions.
- Manage proposal production end to end for both formal and informal opportunities.
- Work closely with sales, marketing, business development, IT, systems, and other internal partners to gather inputs, align messaging, and support proposal strategy.
- Take part in and help lead strategy discussions around positioning, messaging, and task ownership for assigned proposals.
- Edit and proofread proposals and supporting materials to ensure they are precise, polished, consistent, and compliant with company standards.
- Keep proposal templates, databases, process documents, and CRM records current and organized.
- Support greater team efficiency by helping refine tools, procedures, testing, and documentation.
- Assist with onboarding and growth of team members through training resources, mentoring, and participation in interviews and performance reviews.
- Act as a senior support resource when required, including assistance with assignments, complex RFP reviews, and coordination across teams.
Candidate Profile
Applicants should bring experience in proposal writing, bid management, or a similar response-focused role. Strong written and verbal communication skills are essential, along with the confidence to communicate accurately at different levels of the organization. The position requires excellent attention to detail, the ability to produce high-quality work under deadlines, and comfort juggling several complex projects at once. You should also be able to work independently, take initiative, solve problems, and build productive relationships across business units.
Skills and Tools
The role calls for familiarity with tools such as Salesforce, Avnio, InDesign, Photoshop, Microsoft Office, and Acrobat Professional. A strong sense of ownership, good judgment, and a mindset oriented toward continuous improvement are also important.
Compensation and Benefits
The estimated salary grade range for this position is $54,100 to $75,700 annually, based on a 40-hour work week. The final salary offer will depend on factors such as skills, qualifications, and experience.
