Position Summary

The Property Onboarding Coordinator is crucial for fulfilling Arryva's promise of a fully operational property setup within 72 hours of owner sign-on. This role is responsible for efficiently and accurately collecting all necessary property information from new owners. You will manage the entire process from initial contact, setting expectations, and gathering details like Wi-Fi credentials, access codes, house rules, and cleaning supply locations. Your role involves proactively building automated reminder sequences and persistently following up to prevent onboarding delays caused by missing information.

This position blends coordination, communication, and automation building. You will be empowered to improve an existing, functional process, viewing imperfections as opportunities for enhancement. Your contributions in the first 90 days will significantly influence Arryva's onboarding procedures for years to come.

AI Fluency Requirement

Arryva operates as an AI-first organization. All leadership and operations team members are expected to actively utilize AI tools daily as a core productivity enhancement. This role demands genuine curiosity about AI, comfort with experimenting with tools like Claude and ChatGPT, and workflow automation platforms, along with the judgment to apply AI effectively. Candidates uncomfortable with AI should not apply.

Key Responsibilities

  • Property Information Collection: Oversee the complete information gathering process for new Arryva properties, from contract signing to operational handoff. This includes immediate outreach, setting clear expectations, and collecting essential details such as Wi-Fi credentials, access codes, gate/door instructions, utility locations, emergency contacts, house rules, and specific operational notes. Maintain accurate property profiles and identify any missing information prior to handoff.
  • Follow-Up Automation and Reminders: Develop and manage automated reminder sequences to guide new owners through the onboarding checklist with minimal manual intervention. Design workflows that trigger timely outreach, escalating in frequency and urgency for unreceived information. Utilize tools like Zapier, Make, or n8n for automating routine communications, status updates, and internal notifications. Continuously refine these sequences based on common owner bottlenecks.
  • Operations Partner Handoff: Prepare and deliver comprehensive property packages to the operations partner upon successful collection and verification of all required information, ensuring timely and complete handoffs. Act as the primary internal liaison between the client-facing team and the operations partner during onboarding. Monitor handoff status for all properties and confirm activation until each property is fully operational.
  • Owner Experience During Onboarding: Maintain a consistently warm, professional, and proactive communication style with new owners throughout the onboarding journey, providing support even during periods of necessary follow-up. Clearly communicate expectations at each stage, explaining required information, its importance, and subsequent steps. Gather feedback, identify friction points, and propose improvements to streamline the process for all stakeholders.
