Role Overview

In this position, you will act as a Procurement Operations Professional, supporting procurement systems and workflows along with accounts payable-related support requests. You will serve as a central contact for procurement professionals and suppliers across global teams, requiring a solid understanding of IBM tools, procurement processes, and the structure of the global procurement organization.

Responsibilities

  • Receive, record, and respond to queries from internal stakeholders and suppliers, ensuring information shared is clear, correct, and useful for issue resolution.
  • Manage incoming calls with professionalism, patience, and empathy, especially when dealing with frustrated or dissatisfied callers, while maintaining high service standards.
  • Assist users with step-by-step guidance on procurement applications and status-related questions, and help them navigate the tools effectively.
  • Identify issues, collect the relevant details, prepare problem reports, and route matters to the appropriate Level 2 contact when escalation is needed.
  • Log every request carefully, capture accurate contact details, and document questions and issues in a complete and organized manner.

Required Technical and Professional Expertise

  • Working familiarity with IBM procurement tools and related processes, including procurement applications and accounts payable systems.
  • Understanding of how global procurement is organized, including the responsibilities of different roles within the function.
  • Exposure to handling support requests from internal clients and suppliers, including documenting and responding appropriately.
  • Ability to handle calls in a polished, courteous, and empathetic way while maintaining quality service standards.
  • Basic problem-solving ability, including collecting issue details, creating problem reports, and escalating to the correct contact.

Preferred Technical and Professional Experience

  • Ability to communicate effectively in the designated language or languages used with global procurement teams and suppliers.
  • Comfort using tools such as Excel to support procurement operations and respond to client needs.
  • Ability to consult a knowledge base or reference repository to help answer questions and resolve issues efficiently.

Education

A bachelor’s degree is preferred for this position.
