Role overview

Based in the Nuremberg office, Walaris is hiring a Procurement and Project Management Office Associate (m/f/d) to start as soon as possible. This is a part-time onsite position with 20 to 30 working hours per week.

Procurement responsibilities

  • Handle and improve procurement workflows for both projects and day-to-day operations, covering needs planning, vendor inquiries, quote comparisons, purchasing, delivery follow-up, and claim management.
  • Lead supplier sourcing, evaluation, and relationship development, including price and contract discussions and the preparation of confidentiality agreements for suppliers.
  • Track delivery schedules and product quality, and step in with corrective measures when something deviates from plan.
  • Assist with stock planning, minimum inventory levels, and material allocation, while keeping supplier and item records up to date in internal systems.
  • Manage incoming goods inspections.

Logistics responsibilities

  • Coordinate shipping for trade fair and demo exhibits, and support general packing and dispatch tasks, including preparing delivery documents.
  • Prepare and carry out international shipments, including ATA Carnet documentation.

Order and project support

  • Collect project updates from internal teams to compile reports and monitor project deadlines.
  • Assist in preparing quotations.
  • Track customer delivery dates as part of order handling.

Requirements

  • Completed commercial apprenticeship or an equivalent qualification, along with several years of experience in procurement or a comparable business role, ideally in a small or medium-sized company.
  • Solid understanding of procurement, inventory management, and basic logistics.
  • Confident in working with quotations, pricing, commercial terms, and delivery conditions.
  • Basic knowledge of contract law and general terms and conditions in procurement and supplier agreements.
  • Strong command of MS Office, especially Excel, and experience with ERP systems.
  • Knowledge of cost accounting and economic evaluation, such as assessing savings opportunities, is an advantage.
  • Background in the security, defense, or aviation sector is preferred.
  • Ability to work on your own, take ownership, prioritize tasks, and lead negotiations.
  • Strong accountability for cost control, quality, and delivery performance, with a willingness to improve processes continuously.
  • Careful, structured, and dependable working style with a high level of accuracy when handling numbers, deadlines, and contracts.
  • Fluent English communication skills for working with international suppliers and internal stakeholders.
