About the Role

Al-Qadsiah Club in Khobar is looking for a highly organized and initiative-driven Personal Assistant to support the HR Director. This role sits at the center of the HR Director’s office and focuses on keeping administration, documentation, reporting, approvals, and communication running smoothly and confidentially.

The opportunity is ideal for someone who enjoys working in a fast-moving environment, can manage multiple priorities with accuracy, and is comfortable supporting senior leadership in a professional and multicultural setting.

What You Will Handle

  • Provide day-to-day administrative and secretarial assistance to the HR Director.
  • Manage calendars, meetings, appointments, and travel arrangements when needed.
  • Handle internal and external communication on behalf of the HR Director.
  • Prepare meeting agendas, record minutes, and follow up on assigned actions.
  • Support the coordination of meetings and events.
  • Organize confidential HR files, records, and correspondence.
  • Keep documentation properly tracked, updated, and filed in a timely manner.
  • Draft official letters, memos, presentations, and HR-related documents.
  • Maintain document control processes for the HR Director’s office.
  • Track workflow approvals linked to HR activities and departmental tasks.
  • Monitor pending approvals and ensure submissions are completed on time.
  • Work with internal stakeholders to move approvals and documentation forward efficiently.
  • Keep clear records of approval status and workflow progress.
  • Prepare recurring HR and administrative reports for leadership.
  • Collect, organize, and review data to support better decisions and operational efficiency.
  • Build trackers, dashboards, and reports using Microsoft Excel, Power BI, or similar tools.
  • Assist with presentations and management reporting as required.
  • Support HR activities such as onboarding and employee documentation when required.
  • Coordinate with HR team members to ensure effective communication and execution of HR processes.
  • Protect the confidentiality of employee and organizational information at all times.
  • Look for ways to improve administrative processes and reporting efficiency.
  • Recommend practical improvements to support the HR Director’s office.
  • Take part in training and development opportunities to strengthen performance.

Requirements

You should bring a bachelor’s degree in Human Resources, Business Administration, or a related discipline, along with 3 to 5 years of experience as a Personal Assistant, Executive Secretary, or Administrative Assistant. Experience supporting senior management or HR leadership is preferred, and prior exposure to HR work will be an added advantage.

The role calls for strong organization, multitasking, reporting, and documentation skills, plus advanced command of Microsoft Excel and the wider Microsoft Office suite. You must be fluent in both English and Arabic, communicate clearly in writing and speaking, and have strong attention to detail, discretion, and professionalism. The ability to perform under pressure, manage several priorities at once, and work comfortably in a multicultural environment is important. Familiarity with HR systems and ERP platforms would be beneficial.
