Role overview

Besaux Switzerland is recruiting in Dubai for a highly organized and proactive Personal Assistant / Procurement & Merchandising Coordinator to support its local operations. The company works across Switzerland and Dubai in luxury merchandising, corporate gifting, and product development, delivering customized premium gifts, branded merchandise, packaging ideas, product development, design coordination, and production follow-through for high-end corporate clients.

The role blends personal support, operational coordination, procurement follow-up, and merchandising project assistance. It suits someone who is methodical, dependable, quick to act, and able to drive tasks forward without needing constant supervision.

The business works with Swiss management standards and a luxury-oriented approach, handling projects from concept development and moodboards through 3D renderings, sourcing, production files, sampling, manufacturing, and delivery.

Position details

  • Location: Dubai, UAE
  • Work model: On-site in Dubai with 1 to 2 remote days per week
  • Monthly salary: AED 6,000
  • Joining: As soon as possible

Key responsibilities

This position supports both management and project operations, with a strong focus on organization, communication, and follow-through.

  • Assist management with daily administrative and operational work
  • Handle calendars, appointments, reminders, and follow-up tracking
  • Liaise with suppliers, production partners, and service providers
  • Request quotations, evaluate offers, and keep follow-ups moving
  • Support sourcing, procurement, and merchandising activities
  • Prepare project briefs, timelines, supplier updates, and production follow-up notes
  • Maintain order across documents, quotations, invoices, samples, and project records
  • Communicate professionally with clients, vendors, and internal colleagues
  • Track pending items until they are fully closed
  • Coordinate samples, product references, packaging details, and delivery updates
  • Help prepare client presentations, supplier instructions, and internal reports
  • Keep information structured, accurate, and easy to retrieve
  • Contribute to better task tracking and internal workflow organization

Requirements

  • At least 5 years of experience in a Personal Assistant, Executive Assistant, Office Manager, Coordinator, or comparable position
  • Prior exposure to procurement, sourcing, merchandising, production coordination, or supplier management is a strong plus
  • Must already be based in Dubai and available to work on-site
  • Very strong organization and follow-up abilities
  • Excellent attention to detail
  • Professional English communication skills
  • Ability to handle multiple priorities at once
  • Comfortable working in a fast-moving environment
  • Reliable, discreet, and solution-focused
  • Capable of working independently and taking responsibility for tasks
  • Confident in supplier communication and deadline chasing
  • Good understanding of quotations, timelines, documents, and project coordination
  • Strong computer literacy, including email, Google Drive, Excel/Sheets, and presentation software

Ideal profile

The employer is looking for someone who brings structure, sharp thinking, and initiative. Strong discipline in follow-up, polished communication, and the ability to handle both administrative and operational work are essential.
