Role overview

Homestead Land Holdings Limited is looking for a Paralegal to support its management team on resident-related legal matters. This position focuses on arrears collection, tenant dispute handling, and representation matters before the Landlord and Tenant Board as well as Small Claims Court.

The role is based in Burlington and Toronto, Ontario. It is an existing vacancy with a standard workweek of 40 hours.

The compensation range for this position is $65,000 to $80,000 per year.

Key duties

  • Draft and prepare legal documents used by the Landlord and Tenant Board, including notices and applications such as N4, N5, N6, N7, and N8 forms.
  • Join weekly meetings with management and provide updates on legal files and collections activity.
  • Guide managers on the Residential Tenancies Act, related forms, and procedural requirements.
  • Review accounts receivable calendars and coordinate collection actions accordingly.
  • Produce weekly arrears reports, share balance information with sites and management, and keep file trackers current.
  • Maintain spreadsheets for matters that may require legal escalation.
  • Contact tenants by phone or email to follow up on unpaid balances.
  • Track tenant payment plans and monitor payments made after N4 notices are issued.
  • Work with site staff to confirm and follow up on payments.
  • Submit applications to the Landlord and Tenant Board and prepare complete hearing materials.
  • Represent the landlord at hearings, including tenant applications, motions, and reviews.
  • Assess chronic late payment cases with managers and prepare or distribute Persistently Late Letters.
  • Coordinate with housing authorities to support housing arrangements and payment plans.
  • Liaise with families and community organizations in cases involving unusual evictions.
  • Defend matters in Small Claims Court.
  • Prepare monthly bad debt records and forward past tenant files to a collection agency.
  • Maintain collection-related reports and records.
  • Attend sheriff’s offices in person at various locations to file orders.
  • Carry out additional related tasks as assigned.

Qualifications

  • You must keep your Law Society licence active and in good standing, and comply with the Paralegal Rules of Conduct.
  • Bring 2 to 3 years of office experience.
  • Experience with landlord and tenant matters is considered an advantage.
  • Strong working knowledge of Word, Excel, and the Yardi Voyager accounting system is required.
  • Knowledge of the Residential Tenancies Act, 2006 is an asset.
  • Understanding of Small Claims practice and procedure is an asset.
  • Knowledge of the Statutory Powers Procedure Act is an asset.
  • Familiarity with the Freedom of Information and Privacy Act is an asset.
  • Be comfortable working collaboratively in a team setting.
  • Have strong written and verbal communication skills.
  • Be able to work to deadlines.
  • Be willing to travel as needed.
