Role Summary
The Order Management Specialist handles the full lifecycle of orders, from initial entry through shipment. The role covers both manual order entry and EDI-based processing, checks stock availability, coordinates changes or delays with Sales, verifies that customer-specific instructions are met, and ensures orders are routed to the right warehouse for dispatch on time.
This position works closely with Sales, Logistics, and Supply Chain teams to improve fulfillment accuracy and maintain a high standard of customer support.
Key Responsibilities
- Handle incoming EDI orders each day and confirm that item details, pricing, and terms are correct.
- Enter orders received by email, MarketTime, and other retailer systems when manual processing is needed, while checking the same order details for accuracy.
- Work with Sales Representatives to resolve any order or product mismatches.
- Process customer credit card payments when required.
- Check whether items are available to ship and notify the relevant Sales Representative about shortages or inventory concerns.
- Make sure orders move to warehouses in time and follow customer routing instructions and shipping cutoffs.
- Confirm order acknowledgements and routing information in customer portals when needed.
- Track open orders to spot warehouse-related issues or shipment delays.
- Revise order dates and order details as needed to keep reporting accurate.
- Maintain and circulate internal open-order and received-order reports.
- Create shipping labels for Canadian orders when applicable.
- Send workflow requests to warehouses for extra customer instructions such as price stickers, special carton labels, or other shipment markings.
- Verify that all customer-specific needs are communicated and completed before shipment.
- Keep customer EDI translation tables current so orders continue to process correctly and without avoidable delays.
- Prepare and review ad hoc internal order reports as required.
Requirements
- A bachelor’s degree or comparable professional experience is required.
- Prior experience managing orders from entry through shipment.
- Strong Excel skills are preferred.
- Background working with retail customers or supply chain operations is an advantage.
- Good analytical and problem-solving ability.
- Strong organization and careful attention to detail.
- Clear communication and the ability to work well with others.
- Comfort handling several priorities and projects in a busy, fast-moving setting.
