Job description
About the Role
AAT Kings is seeking a highly organised and detail-focused Operations Coordinator to support its On Road Operations team in Auckland CBD on a six-month contract. This is a practical coordination position at the centre of tour execution, responsible for making sure Travel Directors working across Australia and New Zealand are prepared, equipped, and supported from departure through to their return.
The role covers pre-trip administration, Travel Director logistics, wage and advance processing, and day-to-day liaison with reservations, suppliers, finance, and guest relations. In addition to operational support, you will help improve how the team works by refining processes, strengthening the use of tools such as Airtable and Smartsheet, and contributing to automation and systems enhancement projects.
This position is well suited to someone who performs well in a busy environment, enjoys getting the details right, and likes finding more efficient ways to get work done.
Key Responsibilities
- Compile and send all pre-departure documentation for Travel Directors operating across Australia and New Zealand.
- Organise relocation travel, including flights and accommodation, for Travel Directors.
- Share route changes, last-minute bookings, and itinerary amendments quickly and accurately.
- Manage payment processing for Travel Director wages, trip advances, and commissions.
- Keep operational systems and platforms current, including Microsoft Teams, Smartsheet, and Airtable.
- Review and process applications for specific needs.
- Arrange and confirm guest airport transfers.
- Provide support to Travel Directors during emergencies or crisis situations.
- Track guest feedback survey results and follow up complaints with suppliers and guest relations teams.
- Spot opportunities to improve processes and introduce automation within the operations function.
- Support the testing, documentation, and implementation of new systems and workflows.
- Create and maintain standard operating procedures and user guides.
Requirements
- Strong background in administration and coordination, with a sharp eye for detail.
- Practical experience using Microsoft Office and digital collaboration tools such as Teams, Airtable, and Smartsheet, or similar systems.
- Ability to read operational information and identify where improvements can be made.
- Good understanding of geography across Australia and New Zealand.
- A proactive, practical approach and a genuine interest in continuous improvement.
- Strong written and verbal communication skills, plus the ability to manage multiple priorities at once.
- Previous knowledge of AAT Kings products would be an advantage.
