Role Summary

The Office Manager is the primary point of contact for the Toronto office and is responsible for creating a polished, welcoming, and well-run workplace experience for employees, visitors, partners, and board members. This position plays a central role in maintaining smooth day-to-day operations while reflecting the company’s standards and culture. The ideal candidate is dependable, organized, personable, and able to bring a positive presence to the workplace.

This is an onsite role, working Monday to Friday in the office from 8:00 AM to 5:00 PM.

Key Responsibilities

  • Oversee vendor relationships for the Toronto workplace, including providers for food, wellness, supplies, and similar services; handle onboarding of new Toronto office vendors and act as the main workplace operations contact for vendors, ensuring onboarding and payments are processed efficiently and in line with company guidelines.
  • Support employee and guest experience by managing front desk operations, maintaining a professional environment for visitors and clients, responding to employee questions, anticipating needs, and issuing new Toronto employee badges and parking passes.
  • Work with the Senior Director, Workplace Operations and Experience on space planning, office expansions, remodels, layout adjustments, and move coordination for the Toronto office.
  • Partner with leadership on facility oversight, maintenance, and office improvements; coordinate with Workplace Operations San Francisco and Environment, Health and Safety teams to support compliance with health and safety requirements; communicate office events, changes, and operational updates to Toronto employees.
  • Plan and execute office events and programs with the San Francisco Workplace Operations team, from small meetings to large-scale gatherings, including venue sourcing, vendor negotiations, logistics, and budget tracking.
  • Collaborate closely with executive and administrative partners and other departments to advise on in-office needs and lead Toronto-based office projects, training, and cross-functional support initiatives.
  • Provide executive assistant support to office-based leaders, including calendar management, expense reporting, travel coordination, meeting scheduling, action-item tracking, follow-ups, and planning larger department meetings or offsites.

Qualifications

  • At least 5 years of experience in office management, administrative support, or operations.
  • Strong ability to organize work, manage multiple priorities, and handle competing demands.
  • Clear written and verbal communication skills.
  • Comfort using Microsoft Office applications, especially Excel, Word, and Outlook.
  • Ability to manage sensitive information with discretion and professionalism.
  • Adaptable, practical, and effective in a fast-moving environment.
  • Background in a startup or high-growth company environment.
  • Experience with workplace operations or event coordination.
  • Basic understanding of budgeting and vendor management.
  • Friendly, approachable, and engaging interpersonal style.

Compensation and Benefits

The anticipated starting salary for this role is CAD 86,000 to CAD 108,000 per year. Actual pay may vary depending on factors such as location, experience, certifications, and education. Full-time employees are also eligible for a bonus program.
