Role Overview

A manufacturing business serving overseas markets is looking for a practical, highly organized Office & Logistics Manager to take ownership of office administration, shipping coordination, inventory support, and everyday operational tasks. The role sits in a busy production and distribution setting and calls for someone who works proactively, keeps standards high, and can keep multiple workflows moving smoothly.

The right person will combine office management experience with solid freight and logistics knowledge, and will be comfortable driving accuracy, speed, and accountability across departments. This position is important for keeping operations steady, improving internal processes, and ensuring office and shipping activities run efficiently.

Office Administration & Operational Support

  • Run the daily office routine so the workspace remains organized, efficient, and professional.
  • Handle procurement of office supplies, workplace upkeep, and general administrative assistance.
  • Manage mail, bank-related tasks, cheque deposits, and operational payments such as CRA and WSIB remittances.
  • Keep well-structured files for invoices, packing slips, shipping papers, and company documentation.
  • Ensure operational and shipping records are scanned, filed, stored, and maintained accurately.
  • Help implement company procedures, workplace rules, and operational standards.
  • Support management with administration, reporting, and other operational coordination needs.
  • Look for ways to improve processes and make office workflows more effective.

Shipping, Freight & Logistics Coordination

  • Coordinate domestic and international shipments for sales orders, parts, samples, and warranty-related items.
  • Check pick lists, shipment details, and paperwork to make sure outgoing orders are accurate.
  • Prepare shipping documents such as bills of lading, packing slips, labels, customs forms, W-9s, and any other required compliance documents.
  • Arrange freight bookings, courier collections, and shipping schedules through carrier portals and shipping systems.
  • Track shipments, address delays or delivery problems early, and work with carriers or freight contacts to resolve exceptions.
  • Provide customers and internal stakeholders with timely tracking information, shipment updates, and issue resolution.
  • Maintain complete shipment records and store all shipping documents in an organized digital format.
  • Track purchase orders, shipping timelines, and fulfillment schedules to support uninterrupted operations.
  • Resolve logistics issues and coordinate corrective actions as needed.

Inventory, Receiving & Fulfillment

  • Oversee receiving activities and verify incoming deliveries against packing slips and shipping documents.
  • Process received inventory and update systems accurately.
  • Support stock control tasks, including replenishment, backorder tracking, and record accuracy.
  • Manage fulfillment for customer parts orders, internal requests, warranty shipments, and sample dispatches.
  • Ensure outgoing goods are packed correctly, labelled properly, documented clearly, and sent out on time.
  • Work with warehouse, production, and sales teams to keep order fulfillment and stock movement running efficiently.

Cross-Functional Coordination & Leadership

  • Collaborate with production, warehouse, sales, finance, and leadership teams to keep operations aligned.
  • Maintain strong standards for accountability, responsiveness, and accuracy across daily work.
  • Help manage priorities, deadlines, and workflow in a fast-moving manufacturing environment.
  • Provide guidance, support, and training to administrative or shipping staff when needed.
  • Encourage clear communication and cooperation with internal teams and external partners.
  • Take on additional operational responsibilities and special projects as assigned.

Qualifications

  • At least 5 years of practical experience in freight forwarding, logistics, shipping, transportation, or supply chain settings, including office management, operations administration, or business operations exposure.
  • Strong background in office operations alongside freight, shipping, inventory, logistics, and workflow coordination, ideally in freight forwarding or logistics companies.
  • Comfort using shipping platforms, ERP or inventory systems, and standard office/business software.
  • Ability to juggle several priorities while maintaining a high level of precision, structure, and attention to detail.
  • Strong ability in leadership, problem-solving, communication, and coordination.
  • Capable of working independently, making practical operational decisions, and performing well in a fast-paced environment.
  • Reliable, accountable, and able to lead in logistics-focused roles.
  • Must be legally permitted to work in Canada, whether as a citizen, permanent resident, or through a valid work permit.
