Role Summary

As a Junior Administrative Assistant at the New York headquarters, you will support senior leadership with scheduling, meeting coordination, travel planning, and day-to-day administrative execution. The role is central to keeping operations organized and running smoothly in a fast-paced setting.

Core Duties

  • Keep senior leaders’ calendars updated and organized, including meetings, appointments, and priority items.
  • Set up meetings by arranging rooms, sending invitations, and drafting agendas when needed.
  • Plan travel arrangements such as flights, accommodation, ground transport, and itineraries.
  • Take care of routine administrative work and maintain an orderly office environment.
  • Support with personal errands, including dry cleaning, appointments, and similar day-to-day tasks.
  • Monitor and organize emails, messages, and incoming requests when necessary.
  • Draft documents, meeting notes, and basic reports for follow-up or discussion.
  • Coordinate with internal and external stakeholders to keep communication and scheduling on track.
  • Manage office supplies, deliveries, and miscellaneous workplace requirements.
  • Provide broad administrative assistance to help priorities move forward efficiently.

Requirements

  • At least 2 years of experience in administrative support or a junior assistant position; experience in sales or financial services is an added advantage.
  • A bachelor’s degree is preferred, though practical experience may be accepted in place of formal education.
  • Strong planning and time-management abilities, with comfort handling multiple priorities.
  • Hands-on experience with calendar management, scheduling, and general administrative coordination.
  • Clear written and spoken communication skills, paired with close attention to detail.
  • Ability to thrive in a busy, high-output environment.
  • A proactive, solution-focused approach with strong ownership and follow-through.
  • Working knowledge of Microsoft Office, Google Workspace, and Slack; familiarity with CRM tools or internal systems is beneficial.
  • Must be legally authorized to work in the United States.
