Role Overview
The HR Specialist will support the daily execution of the People Operations function. This role works across onboarding, employee systems administration, recruiting coordination, employee communication, and culture-related initiatives. The goal is to create a smooth employee experience while helping manage the processes and systems that keep the organization running effectively.
The right candidate will be highly organized, detail-focused, proactive, and comfortable balancing several priorities in a fast-moving environment. This position provides broad exposure to People Operations, employee experience, recruiting, systems administration, and organizational operations within a growing media company.
Key Responsibilities
Onboarding and Offboarding
- Manage the full onboarding process for new employees, including scheduling, documentation, system access setup, and coordination with other teams.
- Draft and share announcements for new hires.
- Keep onboarding and offboarding checklists current and make sure all required tasks are completed on schedule.
- Assist with exit processes, related documentation, and system updates.
- Contribute to a polished and welcoming employee experience during key transitions.
HR Systems and Employee Records
- Update and maintain employee data in TriNet and connected systems.
- Keep employee information accurate, complete, and current.
- Support audits, reporting requests, and compliance documentation.
- Maintain digital filing structures and People Operations records.
- Help improve workflows to make processes more efficient and organized.
Recruiting Coordination
- Publish openings on recruiting channels and monitor job board activity.
- Arrange interviews and manage candidate scheduling.
- Share logistics and status updates with candidates and hiring managers.
- Track candidates in the pipeline and maintain recruiting documentation.
- Support offer letter preparation and distribution using approved templates.
Employee Communication and Culture
- Write and send internal People Operations communications such as new hire announcements, reminders, and employee updates.
- Help coordinate employee engagement activities, recognition efforts, and company events.
- Maintain internal guides, resources, and People Operations documentation.
- Support efforts that strengthen engagement and contribute to a positive workplace culture.
Performance and Program Administration
- Assist with performance review cycles and employee feedback programs.
- Help with surveys, reminders, reporting, and overall process coordination.
- Maintain calendars, project schedules, and important milestones for People Operations.
- Coordinate logistics for training, development, and leadership programs when needed.
Employee Support and People Operations
- Act as a first contact for employee questions about benefits, policies, PTO, and People Operations procedures.
- Coordinate leave administration with TriNet and internal stakeholders.
- Support payroll-related employee updates and routine payroll questions.
- Partner with the EVP of People & Operations and the Office Manager on People Operations priorities and initiatives.
- Help find ways to improve employee experience and operational effectiveness.
Qualifications
- At least 2 years of experience in Human Resources, People Operations, Recruiting Coordination, Office Administration, or a similar area.
- Hands-on experience with HRIS tools, applicant tracking systems, or comparable business platforms.
- Excellent organization and strong attention to detail.
- Clear written and verbal communication skills.
- Ability to handle several priorities and meet deadlines in a fast-paced setting.
- Strong ownership and the ability to work independently with minimal supervision.
- Proven experience managing administrative or operational processes.
- Comfort working with cross-functional teams and stakeholders.
- Proficiency in Google Workspace and Microsoft Office.
- Interest in employee experience, workplace culture, and ongoing process improvement.
Preferred Experience
- Experience using TriNet or another PEO platform.
- Background supporting remote or distributed teams.
- Experience coordinating recruiting or onboarding programs.
- Exposure to leave administration, benefits administration, or payroll processes.
- Interest in media, digital content, or fast-growing companies.
