About the Company
We are seeking a Shared Services Coordinator to manage the shared services that underpin the operations of our robotics venture. This role is crucial for bridging communication between internal departments and the shared services provider, ensuring that all service requests are accurately logged, prioritized, and followed through to completion. The coordinator will also be responsible for monitoring the performance and governance of these services, collaborating with stakeholders and the provider to guarantee services meet established standards. Essentially, this position ensures the seamless delivery of support services for the robotics business.
About the Role
You will act as the primary liaison between internal teams, including HR, Finance, and IT, and the external shared services provider. Your responsibilities will involve gathering service requests from within the company, verifying that they contain all necessary details and approvals, and then forwarding them to the provider. You will be responsible for determining the urgency of requests and tracking their progress until they are fully resolved. Furthermore, you will oversee the provider's performance, ensuring they adhere to deadlines and agreed-upon service levels. You will also engage with stakeholders to review performance, address any issues, and confirm that services consistently meet expectations.
Responsibilities
- Act as the central point of contact for all service requests spanning HR, Finance, Procurement, and IT functions.
- Gather, organize, and submit service requests from internal teams, ensuring all requisite information and approvals are secured.
- Maintain comprehensive and structured tracking of all requests to promote transparency and accountability.
- Collaborate with the shared services provider to resolve operational challenges and manage escalations as needed.
- Oversee the end-to-end lifecycle of service requests, ensuring timely completion within established service level agreements.
- Organize and lead service review meetings with the provider to evaluate performance and discuss operational matters.
- Monitor service delivery performance, identifying any delays, deficiencies, or operational issues that could affect business operations.
- Establish and track key performance indicators (KPIs) to quantitatively assess service effectiveness.
- Develop and present management dashboards and reports detailing the current state of service performance.
Qualifications
- A minimum of 5 years of experience in project management, shared services coordination, vendor management, or operational program management.
- Demonstrated experience working within environments that utilize centralized or outsourced models for delivering multiple operational services.
- Proven ability to coordinate cross-functional operational requests and manage structured service workflows.
- A strong capacity for managing relationships with external teams and ensuring their accountability for service delivery.
- Excellent organizational and communication skills, with the ability to juggle multiple projects, tasks, and requests concurrently.
- Comfort and adaptability in fast-paced and evolving organizational settings.
- A robust problem-solving aptitude and the skill to effectively manage operational escalations.
Preferred Skills
- A Bachelor's degree in Business Administration, Economics, Management, or a closely related field.
- Possession of relevant service or project management certifications, such as ITIL or PMP, is advantageous but not mandatory.
- Additional certifications in operations or process improvement, like Lean Six Sigma, would be considered a plus.
