About the Role
The HR Specialist will support the full employee journey, from onboarding through offboarding, while helping maintain accurate HR operations and a smooth employee experience. The position includes handling new hire processing, HR data maintenance, background checks, drug screening coordination, and day-to-day administrative HR support. Qualifications
Applicants should have an associate degree in Human Resources, Business Administration, or a similar field, or an equivalent mix of education and experience. A background of 1 to 3 years in HR support, administrative work, or coordination is preferred. Experience using HRIS tools such as ADP Workforce Now or comparable systems is important, along with strong proficiency in Microsoft Office, especially Excel, Outlook, and PowerPoint. The role requires careful handling of confidential information, strong accuracy, and excellent organization. Candidates should be open to adjusting work hours as needed for manufacturing operations and must be able to clear background checks and drug screenings. Preferred experience includes a bachelor’s degree in HR or Business Administration, exposure to manufacturing or defense environments, and familiarity with I-9 and E-Verify processes. U.S. citizenship is required.
Responsibilities
- Model and reinforce environmental, health, and safety standards, policies, and procedures.
- Manage new hire paperwork and setup, including offer letters, I-9 verification, and access requests.
- Act as the main point of contact for new employees from offer acceptance through orientation.
- Confirm that pre-employment steps such as background checks, drug tests, and required documents are finished before start dates.
- Coordinate drug screening and background check activities, including scheduling, vendor communication, and custody records.
- Protect the confidentiality of screening outcomes and share results only with approved HR staff.
- Track screening data and prepare metrics that support compliance, audits, and process improvement.
- Keep employee records current in HR systems, including hires, terminations, and changes.
- Review HR data regularly to catch and correct inconsistencies that could affect payroll or reporting.
- Help prepare HR reports, dashboards, and exports for leadership use.
- Maintain HR files and records in a manner that supports EEOC and federal/state retention requirements.
- Process leave-related paperwork, including FMLA and workers’ compensation documentation, with payroll and HR leaders.
- Draft and distribute HR communications, offer letters, and policy updates.
- Partner with managers to refine job descriptions and support recruitment posting activities through HR systems.
- Conduct first-round phone screenings for hourly and entry-level roles.
- Arrange interview schedules between candidates and hiring managers.
- Compile candidate feedback and disposition details in HR systems.
- Support hiring events such as job fairs, campus visits, and community recruitment activities.
- Respond to employee questions about policies, benefits, and HR procedures in a timely and professional way.
- Contribute to HR projects, special tasks, and ongoing initiatives as assigned.
- Encourage a workplace culture grounded in integrity, fairness, safety, and positive team practices.
- Work with colleagues, share knowledge, and assist with training efforts that improve safety, quality, and productivity.
- Complete any additional duties assigned by management to support business and operational goals.
