Job Summary

PIPECARE Group is seeking a dedicated HR Administrator to support our Human Resources and Administration functions. This role is crucial for maintaining our HR systems, coordinating employee services, and addressing employee concerns. The HR Administrator will ensure smooth operations by managing employee requests, documentation, and record-keeping.

Key Responsibilities

  • Facilitate effective communication and coordination of HR matters between regional offices and the Head Office.
  • Support the recruitment lifecycle by scheduling interviews, screening resumes, and managing follow-ups.
  • Manage administrative tasks including visa processing, employment documentation, document legalization, medical insurance arrangements, and new employee bank account setup.
  • Maintain accurate records of all employee leaves, such as annual leave, personal leave, sick leave, and field breaks.
  • Oversee employee clearance and handover processes for various leave types and terminations.
  • Create and maintain both physical and digital employee files, ensuring proper labeling, filing, and scanning of all documents.
  • Establish employee profiles in the ERP system, inputting salary details and updating position changes.
  • Monitor daily attendance for all LIN SCAN/PIPECARE employees and finalize approvals in the ERP for payroll processing.
  • Prepare and manage monthly salary adjustment files, finalizing and submitting payroll for financial approval.
  • Update and maintain the Training Matrix and associated records.
  • Address and resolve minor employee issues and concerns directly.
  • Prepare and manage all HR-related documentation, including job offers, contracts, probation confirmations, promotion letters, salary certificates, clearance letters, warning letters, and termination letters.
  • Coordinate with Office Assistants for general assembly certificates and refreshments.
  • Manage employee accommodation requests in accordance with company policy.
  • Process employee passport and gate pass releases, as well as issue and release labor cards.
  • Attend internal meetings as required by the supervisor.
  • Undertake any other duties assigned by the supervisor.

Accountability

  • Ensure employee files are consistently updated and adhere to company standards.
  • Approve daily attendance records.
  • Manage employee relations within the designated territory.
  • Submit monthly payroll accurately and on schedule.

Knowledge, Skills, and Abilities

  • Proficiency in HR administration and recruitment processes.
  • Experience in managing complex, multi-national, and cross-cultural organizations.
  • Strong administrative capabilities, particularly within recruitment.
  • Excellent English communication skills, both written and verbal.
  • Proactive, professional, and confident work ethic.
  • Ability to perform effectively under pressure and meet strict deadlines.

Physical and Mental Requirements

  • Ability to lift and carry up to 50 pounds.
  • Must be able to walk, climb, and navigate industrial environments, including elevated platforms.
  • Clear speech and hearing for effective communication.
  • Capacity for sustained focus and multitasking.
  • Willingness to wear required safety equipment in manufacturing settings.
  • Sufficient personal mobility and reflexes for office duties and necessary travel.
