Job description
Role Overview
This senior leadership position is accountable for managing administration, workplace services, facility operations, infrastructure, and corporate real estate across ZEISS locations in India. The role is centered on building strong operating standards, ensuring safe and reliable workplaces, and enabling business growth through well-run facilities and services.
Core Responsibilities
- Direct all facility management activities across the company’s India footprint.
- Create and maintain consistent national standards, operating procedures, policies, and governance practices for facilities.
- Ensure smooth operations of workplace assets such as office spaces, experience centers, service hubs, and warehouses.
- Run preventive and corrective maintenance programs to support uptime and business continuity.
- Oversee administration services including travel, transport, office support, visitor handling, accommodation, assets, and utilities.
- Design uniform service delivery models for multiple locations.
- Use administrative resources efficiently and ensure effective procurement and usage.
- Carry out audits, service reviews, and cost evaluations to improve value and performance.
- Promote digitization and automation across administrative workflows.
- Manage national vendor relationships and contracts for facility management, security, housekeeping, technical services, transport, and cafeteria services.
- Define and track KPIs, SLAs, and governance controls for outsourced partners.
- Ensure vendors meet contractual commitments and organizational expectations.
- Lead office expansions, relocations, consolidations, fit-outs, renovations, and workplace modernization initiatives.
- Shape long-term infrastructure and workplace plans in line with business priorities.
- Handle project scope, budgets, schedules, contractors, consultants, architects, and stakeholder coordination.
- Ensure delivery quality, cost discipline, timelines, and compliance with corporate design requirements.
- Maintain alignment with ZEISS workplace and design standards.
- Ensure facilities comply with EHS requirements and all applicable statutory regulations.
- Oversee safety audits, fire drills, risk assessments, and compliance checks.
- Maintain licenses, permits, certifications, insurance papers, and other regulatory records.
- Own the national budget for administration and facility operations.
- Drive savings through process improvement, strategic sourcing, automation, and better resource use.
- Monitor budget performance, financial control, and realized savings.
- Build workplace experience initiatives that support employee satisfaction, productivity, and well-being.
- Ensure service quality remains high across all sites.
- Lead employee feedback and improvement efforts tied to workplace services.
- Manage and coach regional facility and administration teams across India.
- Foster a culture of accountability, service excellence, and continuous improvement.
- Serve as the main point of contact for senior leadership on administration and facilities topics.
- Work closely with HR, Finance, Procurement, Legal, IT, EHS, and business leaders to support organizational goals.
- Handle escalations and critical continuity situations effectively.
Requirements
- At least 15 years of experience in facility management and administration, ideally in large organizations or environments with multiple locations.
- Background in managing sizeable facility portfolios, warehouses, corporate offices, and outsourced service operations.
- Strong working knowledge of engineering services, building operations, housekeeping, security, and vendor oversight.
- Understanding of statutory compliance and workplace safety requirements.
- Demonstrated ability to lead teams, communicate clearly, negotiate well, and manage stakeholders.
- Hands-on experience with major infrastructure programs, workplace transformation, and expansion projects.
- Professional certifications such as IFMA, FMS, or NEBOSH are considered an advantage.
