Role overview
The Guest Services Specialist will be the first point of contact for visitors and callers, ensuring every interaction reflects a professional and welcoming atmosphere. The position focuses on responsive customer service, accurate message handling, and day-to-day front office support.
Key duties
- Manage a multi-line telephone system and route calls to the right person or department without unnecessary delay.
- Answer incoming calls promptly, preferably by the third ring, using a courteous, professional tone.
- Keep callers informed efficiently and limit time spent waiting on hold.
- Record who is on hold and maintain clear written logs.
- Capture detailed call messages when the intended person is unavailable, including the caller’s name, phone number, time of call, and the requested information.
- Use the caller’s name whenever possible to create a more personal experience.
- Address complaints tactfully and escalate issues to the appropriate manager when needed.
- Greet visitors warmly, assist with questions, and maintain a friendly front-desk presence.
- Maintain accurate records of visitor requests and incoming calls.
- Support office administration by keeping the filing system organized.
- Receive deliveries and sort/distribute incoming mail.
- Follow time clock procedures and ensure proper clock-in and clock-out on a daily basis.
- Keep the workstation neat and maintain a professional appearance.
- Track office supplies and refreshments, then restock when necessary.
- Support retail apparel sales as part of the role.
- Carry out additional job-related tasks assigned by management.
Requirements and qualifications
- High school diploma or an equivalent qualification.
- Comfort using Microsoft Office and experience with data entry.
- Experience handling multi-line telephone systems.
- Professional personal presentation and demeanor.
- Fluency in English.
- Strong active listening ability.
- Excellent spoken and written communication skills.
- Ability to pass messages clearly and quickly to employees.
- High attention to detail.
- Strong troubleshooting and problem-solving skills.
