Role overview
This contract role in Riyadh, Saudi Arabia runs from July through September. The Guest Management Lead will own the full guest experience for large-scale international events, including conferences, summits, forums, and government-facing engagements. The role covers every stage of guest operations: VIP protocol, ministerial and delegation handling, invitations, registration, travel coordination, hospitality, and on-site guest support.
The position calls for a professional with deep experience supporting government events, senior officials, VIPs, high-level executives, and international delegates, while maintaining strict protocol standards and delivering polished service.
Key responsibilities
- Direct the full guest management plan and carry it through all phases of the event.
- Oversee invitations, RSVP follow-up, accreditation, registration, and attendee communication.
- Handle protocol arrangements for ministers, officials, diplomats, VIP guests, and foreign delegations.
- Coordinate arrival and departure logistics, including airport assistance, meet-and-greet support, immigration facilitation when needed, transport, lodging, and hospitality.
- Design guest journey maps and operating procedures that support a smooth experience for participants.
- Work closely with protocol offices, public authorities, hotels, transport vendors, venues, security teams, and other event partners.
- Manage VIP lounges, hospitality zones, executive holding areas, and guest service counters during the event.
- Prepare guest lists, seating charts, movement plans, briefing packs, and protocol guidance notes.
- Lead guest management staff, registration teams, volunteers, and hospitality crew.
- Address guest concerns quickly, with tact, professionalism, and confidentiality.
- Maintain alignment with event protocol, security expectations, and service quality standards.
- Compile post-event evaluations, operational summaries, and improvement recommendations.
Requirements
- A bachelor’s degree in Event Management, Hospitality Management, Tourism, Business Administration, or a closely related discipline is required.
- At least 7 to 10 years of experience in guest services, protocol, hospitality, or event operations is needed.
- Background in delivering international conferences, summits, forums, exhibitions, or government events is essential.
- Experience working with VIPs, ministers, senior officials, diplomats, C-suite leaders, and international delegations is expected.
- Strong knowledge of government protocol, diplomatic etiquette, and executive-level hospitality is necessary.
- Hands-on experience with large-scale registration and accreditation systems is required.
- Excellent communication, stakeholder coordination, and organizational abilities are important.
- Ability to juggle multiple priorities in a fast-moving event environment is needed.
- Familiarity with guest management and event registration platforms is preferred.
- Willingness to travel and work flexible hours during event delivery is required.
Preferred experience
Applicants with exposure to any of the following event types are especially desirable: international conferences, government summits, ministerial forums, economic forums, global congresses, G20/GCC/UN-related events, government ceremonies, state visits, royal or diplomatic events, and expo-scale events.
