Role overview
This position is based in Chennai, India, and supports vessel procurement and marine supply operations within a global ship management and marine services organization. The role is focused on making sure vessels receive approved stores, spare parts, and related items on time, within budget, and in line with company procedures and marine policies.
The role also provides day-to-day assistance to the Fleet Superintendent across fleet operations, with a strong emphasis on safety, service quality, and cost control.

Key responsibilities
- Support the team ashore and onboard in maintaining the highest standards of safety and environmental awareness.
- Keep customer interests central while coordinating work between the vessel and shore teams.
- Raise office requisitions in the company system based on instructions from Fleet Superintendents or agreed annual commitments.
- Process vessel and office requisitions through the system while following all approved controls.
- Collect, review, and validate supplier quotations sourced from approved vendors, in line with company policy.
- Maintain awareness of approved suppliers and their scope of supply, and work with Fleet Cell Liaison Managers to promote suitable available solutions.
- Respond promptly to requests for clarification from suppliers, vessels, or Fleet Superintendents.
- Coordinate purchasing matters with Fleet Superintendents and onboard senior management.
- Arrange the supply of ship spares and stores once the relevant approvals are received.
- Manage collection, storage, consolidation, and final delivery of spares to vessels, including last-mile coordination where needed.
- Share shipment details with the vessel and the appointed agents.
- Track every order through to completion and onboard receipt.
- Address supply mismatches or discrepancies with suppliers as reported by the vessel or fleet cell.
- Review and process invoices according to procedure before sending them to Accounts for payment.
- Provide out-of-hours support in urgent cases for assigned vessels or Fleet Superintendents when required.
Requirements
- A B.S. degree in business is preferred, or relevant prior experience in a marine purchasing environment.
- Strong written and verbal communication skills, with the ability to coordinate effectively through direct and electronic communication.
- Good computer literacy and the ability to learn and operate internal software systems.
- A strong commitment to delivering excellent customer service.
